NDT ERP and inspection management software for US inspection companies

An NDT ERP for a US inspection company runs the whole job in one system. It holds SNT-TC-1A certification records and expiry dates, equipment calibration, crew dispatch, method-specific field reports, client approval and invoicing from approved timesheets. Atlantis ERP is configured for NDT companies and typically goes live in 2-4 weeks. The published plans for the USA and Canada are on our pricing page.

What a US inspection company needs from the system

Generic ERP handles sales, stock and accounts well. It does not know that a Level II UT technician with a lapsed vision exam should not sign a report tomorrow. US inspection work has five pressure points that the system has to carry.

SNT-TC-1A certification records and expiries

In the US, most NDT certification is employer-based. Under SNT-TC-1A, your company writes a written practice, your Level III approves it, and you certify your own technicians against it. That puts the records on you. An auditor or client will ask for each technician's training hours, experience, general, specific and practical exam results, current vision exam, and certification dates. SNT-TC-1A recommends recertification at least every five years. The exact interval and the rules for interrupted service are whatever your written practice says.

The Certificates app records each certification by scheme (SNT-TC-1A, CP-189, ISO 9712, PCN, CSWIP or other), level, method, certifying body, issue and expiry dates, OJT hours, training hours and exam results. Vision tests are recorded separately, with near vision, color perception, examiner and expiry. Status is computed automatically: active, expiring soon (90 days), expired or revoked. Daily checks create warning tasks 90 days before a certificate or vision test expires, and timesheets warn when a technician's certificate is not valid. One detail matters at hiring time. Employer-based certifications do not transfer with the person, so a new hire's previous certificate is evidence for your Level III, not a current certification under your written practice.

Radiography: NRC and Agreement State records

Radiography adds a federal or state licensing layer. Texas, Louisiana and California are Agreement States, so the state radiation control program issues the license, with requirements equivalent to the NRC's. Under 10 CFR Part 34, survey meters are calibrated at intervals not exceeding 6 months, sealed sources are leak tested at intervals not exceeding 6 months, radiographers need certification plus annual refresher safety training, and the RSO or a designee observes each radiographer's job performance at intervals not exceeding 6 months. The ERP's employee NDT profile records radiation safety training and badge numbers. Survey meters sit in Asset Management with their calibration due dates. The Fleet app records which vehicles can carry radioactive sources, with transport license numbers and expiry dates.

Equipment calibration

Every flaw detector, thickness gauge, probe, yoke and calibration block is tracked by serial number in Asset Management, with calibration frequency, provider, certificate number, accredited-lab flag, result and next due date. Expiry alerts go to the people you choose. When a dispatcher assigns an instrument that is out of calibration, Team Assignments shows a warning before the crew leaves the yard.

Job dispatch

Gulf Coast work peaks in the spring and fall turnaround seasons, when crews, instruments and sources are all over-committed. Team Assignments blocks double-booking of technicians and of equipment serial numbers, tracks leave and training on an availability calendar, and moves each job through planned, dispatched, in field, submitted and closed.

Client reporting and invoicing

Clients want reports in their own format, signed and fast. The NDT Reports app has 17 method-specific report types, a review and approval workflow, offline field capture and company templates that can match a client's layout. Invoices draw on approved timesheet hours, with the client's PO and job number, and labor, equipment and consumables shown as separate subtotals.

How a job runs from quote to invoice

The point of one system is that each step inherits the last one's data. Here is a typical US field job.

  1. Enquiry. The lead lands in CRM with service line, industry, site and estimated technicians and days.
  2. Quote. The quotation carries job type, site, project dates, applicable codes and NDT service lines. The client accepts and signs online, and the quote becomes a sales order.
  3. Job set-up. The project holds the client PO, contract, methods, codes, scope, acceptance criteria, and the safety induction and work permit fields your client requires.
  4. Dispatch. Team Assignments allocates technicians and instruments. Double-bookings are blocked, and out-of-calibration equipment raises a warning.
  5. Equipment issue. Instruments go out through the issue workflow, with condition recorded at issue and again at return.
  6. Field reporting. Technicians capture method-specific reports in the offline app, with photos and on-screen signatures. Drafts sync when there is signal.
  7. Review and approval. Each report moves from draft to review, approved and sent. On API 510, 570 or 653 jobs, the client's Authorized Inspector can be named and sign on the report.
  8. Timesheets. Hours are logged by work type: inspection, travel, standby and setup. Each line is billable or not, with a rate multiplier for overtime.
  9. Invoice. The invoice pulls the PO, job number, approved hours, equipment and consumables. The financial dashboard shows revenue, margin and outstanding invoices.

Example: a turnaround call-out on the Gulf Coast

A refinery client calls on a Friday. They want two extra PAUT crews and a radiography crew on site Monday for a unit coming down early. On spreadsheets, the dispatcher phones around to find out who is free, checks a binder for certifications, and hopes the flaw detectors in the yard are in calibration.

In the ERP, the dispatcher checks the availability calendar against the technicians certified in PAUT at Level II. Anyone on leave or already assigned is visible at once. A warning task shows that one candidate's vision exam lapses in three weeks, so the exam gets booked before the job ends. The instruments come from the serial-numbered pool, and one unit due for calibration raises a warning before it is assigned. For the radiography crew, the dispatcher confirms the vehicle is cleared to carry sources and the license is current. Reports flow back from site through the offline app. The client's PO is already on the job, so the invoice is built from approved hours when the work closes.

Implementation in 2-4 weeks: what happens each week

Implementation typically takes 2-4 weeks from kickoff. Clean records make it shorter. Many report templates, several branches or messy certification files make it longer. A typical plan:

  • Week 1: discovery and data audit. We collect your technician list, certifications, vision exams, equipment register, calibration certificates, customers, rate sheets and report templates. We flag expired or incomplete records before they are loaded.
  • Week 2: configuration and load. Certificate templates per scheme, report templates mapped to your layouts, rate types, invoice layout, alert recipients and user roles. Data goes in.
  • Week 3: parallel run. Live jobs run in the new system alongside the old one. Field technicians use the offline app on their own devices.
  • Week 4: cutover and support. The old spreadsheets are frozen. Office staff, dispatchers and technicians get role-based training, and the first invoices go out from the ERP.

What to prepare before kickoff

  • Your current written practice and the list of approved procedures with revision numbers.
  • A technician list with certifications, levels, methods, expiry dates and vision exam dates.
  • An equipment list with serial numbers, current calibration certificates and due dates.
  • Two or three recent reports per method in the format your main clients accept.
  • Your rate sheet, including overtime, standby, travel and per diem rules, plus a sample invoice.
  • The names of the people who should receive certification and calibration alerts.

Small shops with tidy records often finish in the first two weeks. Integrations with accounting or client systems go through the open REST API and are scoped separately, so they can follow go-live without delaying it.

Who it is for

  • Small inspection shops running on spreadsheets, a shared drive and an accounting package, where one expired cert or lost calibration certificate can cost a client.
  • Mid-size multi-method contractors with UT, PAUT, MT, PT and radiography crews, turnaround peaks and several yards.
  • Multi-branch companies across Texas, Louisiana and beyond that need one certification register and one equipment pool.
  • In-house NDT departments at fabrication shops and aerospace suppliers that certify their own people and must show it at audit.
  • Training-led companies that also certify technicians and want course records next to certification records.

Choosing a vendor and avoiding common mistakes

How to compare NDT ERP vendors

Most demos look similar for the first ten minutes. These questions show the difference quickly:

  • Does certification status reach the people making decisions? A reminder email is not enough. The warning should appear on the timesheet and in the lists your dispatcher checks.
  • Is calibration tied to the serial number that goes to site? A calibration list that is not linked to assignments will not stop an expired gauge leaving the yard.
  • Are reports method-specific? A UT report needs a probe calibration table. An RT report needs source, technique and IQI. A generic form builder pushes that work onto you.
  • Does field capture work offline? Tank farms, pipeline right-of-way and plant basements often have no signal.
  • Can it match your client's report format? Clients rarely accept a new layout.
  • Do invoices come from approved hours? Re-keying hours into accounting is where margin leaks.
  • Who implements it, and how long does it take? Ask for a week-by-week plan, not a range.
  • Are the prices published? Ours are on the ERP pricing page for the USA and Canada.

Common mistakes when switching systems

  • Loading expired certificates as active. Audit the certification file before migration, not after.
  • Equipment without serial numbers. Calibration and dispatch both depend on the serial. "UT gauge #3" is not traceable.
  • Going live in turnaround season. Plan cutover outside the spring and fall peaks, when dispatchers have time to learn.
  • Keeping rate sheets in a spreadsheet. If rates live outside the system, invoices will too.
  • Customizing everything before go-live. Go live on the core workflow, then add what real use shows you need.
  • Leaving technicians out of testing. The offline app has to work for the people in the field, on their devices.

Regional pages, Canada notes and related apps

Canada notes

Canadian inspection companies use the same system with Canadian records. The Canadian General Standards Board closed on 1 April 2026. NRCan's NDT Certification Body continues and issues CAN/CGSB-48.9712 certifications, which the Certificates app records under the ISO 9712 scheme. Radiography licensing in Canada sits with the CNSC rather than the NRC. Many Canadian clients with US parents also accept SNT-TC-1A certification, so mixed crews are common, and one register holding both schemes avoids keeping two files. Published plans for Canada are on the same pricing page. For a regional view, see NDT ERP in Alberta and Western Canada.

Frequently asked questions

What is NDT inspection management software?

It is software that runs an inspection company's operations in one place: technician certifications, equipment calibration, job dispatch, field reports, approvals and invoicing. An NDT ERP adds CRM, quoting, purchasing and accounting on the same records.

What is the best NDT software for a US inspection company?

It depends on where the pain is. If the problem is only report turnaround, reporting software may be enough. If certifications, calibration, dispatch and billing all live in different places, you need an ERP configured for NDT. Test any vendor against the questions above.

How does certification tracking handle SNT-TC-1A expiries?

Each certification and vision test has an expiry date. The system marks it expiring soon at 90 days, creates warning tasks, sends daily email alerts to the people you choose, and warns on the timesheet if a certificate is not valid.

Can the ERP track equipment calibration due dates?

Yes. Every instrument, probe and block is tracked by serial number with its calibration certificate and next due date. Expiry alerts go out automatically, and dispatch shows a warning when out-of-calibration equipment is assigned.

How long does implementation take?

Typically 2-4 weeks from kickoff. Clean certification and equipment records shorten it. Many custom report templates or several branches lengthen it.

Where can I see prices?

The published plans for the USA and Canada are on the ERP pricing page. Custom work beyond the plans is quoted on request.

Does it integrate with our accounting package or our clients' systems?

Atlantis ERP has an open REST API. It connects to SAP, Maximo, NetSuite or any other software that accepts API connections. Each integration is scoped with you during implementation.

Does the ERP calculate API 510, 570 or 653 inspection intervals?

No. The ERP holds the NDE reports, with the client's Authorized Inspector named and signing where required. Interval and corrosion-rate decisions stay with that inspector.

Is there ERP support in Houston?

Atlantis has an office in Houston. Support and training are delivered remotely, with onsite visits arranged as part of the implementation where needed. To start, book an ERP demo.
