NDT ERP in North Dakota: what it does for an inspection company
The Atlantis ERP solution gives North Dakota NDT and inspection companies one system for technician certifications, equipment and calibration, crew rotations and dispatch, offline field reports, quotations and invoicing. It is set up around how your company already runs Bakken, pipeline, plant and shop work, it is reachable from a browser or phone anywhere with or without signal in the field, and it is fully customizable. Pricing is a quote on request, built on your headcount and scope.
This section is for owners, operations managers, QA/QC leads and Level IIIs at inspection contractors working out of Williston, Watford City, Dickinson, Minot, Bismarck-Mandan and Fargo. It deals with what makes North Dakota different: sites that are hours apart on gravel roads, crews on rotation who live out of a pickup, winters that shut work down for days, and operators who expect the paperwork to be as clean as the welds.
The North Dakota inspection market in plain terms
Most NDT revenue in the state comes from energy, and the energy is spread across a big map.
- Bakken oilfield and midstream: well pads, tank batteries, gathering lines, compressor stations and gas plants across Williams, McKenzie, Mountrail and Dunn counties, including large processing sites such as the Tioga Gas Plant. The work is weld inspection on new construction, UT thickness on production equipment and tanks, and coating checks.
- Pipelines: crude, gas and NGL lines leaving the basin, including the Dakota Access Pipeline corridor, generate girth-weld RT and PAUT, plus integrity digs.
- Refining and renewable fuels: Marathon's Mandan refinery, the oldest and largest in the state, runs turnarounds with heavy inspection scopes, and the Dickinson plant was converted to renewable diesel production.
- Power and synfuels: lignite-fired stations along the Missouri River such as Coal Creek Station near Underwood, and the Great Plains Synfuels Plant near Beulah, bring boiler tube, piping and pressure-equipment inspection during outages.
- Manufacturing: the Fargo area and eastern North Dakota have agricultural and construction equipment plants that need weld inspection, MT and PT on fabricated parts.
A midstream operator wants a report on the day the weld is shot. A refinery wants certificates checked before the badge is printed. A fabricator wants an invoice that matches its PO line by line. NDT software in North Dakota has to serve all three from the same records.
Crew rotations and dispatch software across a big map
North Dakota crews tend to work rotations, often two or three weeks on and a week off, and they cover sites that can be two hours apart. The scheduling problem is not just who is free tomorrow; it is who is on rotation, who is in the basin versus back home in another state, and which truck has the crawler and the source.
In the Atlantis ERP each job is a team assignment that moves through planned, dispatched, in field, submitted and closed, with site GPS coordinates and mobilisation and demobilisation dates. For well pads and pipeline spreads without street addresses, the GPS coordinates are what actually get a technician to the right location. Every technician has an availability calendar with assigned, leave, training, sick and unavailable days, so rotation days off are entered once as leave in Time Off and show on the dispatch board. Overlapping entries are refused.
Double-booking a technician is blocked. Double-booking an equipment serial number is blocked. Operations sees each technician's status, current assignment, utilisation and next available date in calendar, kanban or list views. When a pipeline contractor calls from Watford City needing a second RT crew for Monday, the answer comes from the board, not a round of phone calls to men who are asleep after a night shift. See the team assignments app.
Winter, weather days and offline field reports
Between November and March, weather decides the schedule. Blizzards close roads, wind chill stops outdoor work, and a crew can lose several days in a row. When the weather breaks, every client wants its work done at once. The office needs to reshuffle quickly without losing track of what was promised.
Marking technicians unavailable for weather days blocks assignments against those dates, and moving an assignment's mobilisation window shows straight away whether the same crew and equipment are free for the new dates. Because equipment reservations are checked for clashes, a pushed job does not quietly take the phased array set another crew was counting on.
Out in the field, coverage in parts of the western counties is patchy. The Atlantis field app installs from the browser onto a phone or tablet and works without signal. Technicians choose the method, fill in the report, take photos, sign on screen and preview the PDF, and drafts and photos stay on the device until it syncs. A technician in a heated truck on a remote pad can finish the report before driving out, instead of writing it on paper with cold hands and typing it again at the hotel. The field API lets devices pull the jobs assigned to that technician and the equipment issued to them, then submit and sync reports.
Technician certification tracking software for travelling crews
Many technicians working in North Dakota are certified by an employer in another state or have moved between contractors, so certificates arrive in every format. Technician certification tracking software needs to hold them all in one structure and tell you before anything lapses.
Each certification in the Atlantis ERP records the scheme (SNT-TC-1A, CP-189, ISO 9712, PCN, CSWIP or other), level from trainee to III, method, certifying body, issue, expiry and renewal dates, industry sector, OJT hours, training hours, exam results and attachments. Status is computed automatically as active, expiring soon within 90 days, expired or revoked, with menus that list only the expiring and expired records. Certificate templates per scheme set validity in months, whether a vision test or exam is required, and minimum OJT and training hours, so a new hire's record can be checked against your written practice.
Vision tests are separate records: near vision to Jaeger J1 or J2, far vision, colour perception, contrast, examiner, clinic, file and expiry. Examination sheets hold general, specific and practical scores against a passing score that defaults to 70 percent. Daily checks raise warning tasks 90 days before a certificate or vision test runs out, and daily email alerts go to the people you choose. Timesheets warn if a technician's certificate is not valid. The employee NDT profile also stores the highest level held, methods certified, radiation safety training, radiation badge number and medical fitness expiry. More on the certificates app. If you want to see your current certificate spreadsheet loaded into it, ask for a certification tracking walkthrough.
Equipment, calibration and the truck inventory
In the basin, the equipment lives in trucks, not in a cage. A flaw detector might spend a month in one pickup, be swapped at a yard in Williston, and come back with a different probe and a cracked cable. Calibration management software is only useful if it follows the serial number, not the shelf.
The Atlantis ERP tracks each instrument and probe by serial number with type, assigned person, condition, asset tag, firmware, accessories and lifecycle stage: new, active, in calibration, in repair, rented out, retired or disposed. Issue and return go through supervisor and manager approval with condition recorded at both ends. Reservations prevent clashes, and inbound and outbound movements are logged so you can see which yard or crew had a unit on a given date.
Calibration records store the provider, certificate number, standard, range, uncertainty, accredited-lab flag, pass, fail or conditional result and next due date, and the calibration certificate register holds the lab accreditation number, PDF and valid, expiring or expired status with alerts. Team assignments warn when assigned equipment is out of calibration. The maintenance log covers preventive and corrective work, repairs, cleaning, firmware updates and probe replacement, with condition before and after. Consumables such as couplant, MT particles, penetrant and developer, film-processing chemicals, PPE and cold-weather gear carry reorder levels and low-stock flags. Purchase orders can be tied to a specific equipment serial, and vendors can be typed as OEM, dealer or calibration lab. See the asset management app.
Radiography crews, sources and North Dakota radiation control
North Dakota has been an NRC Agreement State since 1969, and its radiation control programme sits with the North Dakota Department of Environmental Quality, which licenses and inspects industrial radiography. For RT contractors shooting pipeline and facility welds, that means records on people, training, dosimetry and vehicles all need to be current and easy to produce.
The ERP holds the people side in the employee NDT profile: radiation safety training, radiation badge number and medical fitness expiry alongside certificates. The Fleet app holds the vehicle side: purpose, whether a vehicle can carry radioactive sources, its transport licence number and expiry, and assignments of vehicles to projects and drivers with dates and mileage. When a camera truck moves from a Mandan turnaround to a pipeline spread near Tioga, the office can see who is driving, which job it is assigned to and whether the vehicle's paperwork is valid.
RT reports record source, technique, IQI type and placement. How your source inventory, leak tests and utilisation logs are structured for your own licence is configured during implementation with your Radiation Safety Officer. The ERP supports the programme; it does not replace it.
NDT reporting software for pipeline, plant and shop work
NDT reporting software is the part of the system the client actually sees. The Atlantis ERP includes 17 report types, each with its own numbering: UT, RT, MT, PT, VT, ECT, IRIS, PAUT, MFL, TOFD, PWHT, PMI, hardness, UT thickness, ferrite, holiday/coating and computed radiography.
That covers the North Dakota mix. Pipeline and facility construction uses RT, PAUT and TOFD reports, with PAUT focal laws and RT technique and IQI recorded. Tank batteries and production vessels get UT thickness reports with readings by direction and MFL reports with scan mode and item lines for tank floors. Refinery and power outages bring PMI, hardness, PWHT and IRIS reports. Fabricators in the east of the state need MT and PT reports with technique, particle type, method and developer.
Weld and job lines record defect type and orientation, and each report ends acceptable, not acceptable or acceptable with remarks. The workflow runs draft, in progress, review, approved and sent, with inspector, reviewer and approver signatures and a third-party or authorized inspector field. Work order, request, WPS, contract, drawing, procedure and standard references are captured. Versioned company templates in Excel, Word, PDF or HTML carry your logo, and Excel templates are filled by mapping fields to cells, which helps when an operator insists on its own weld map spreadsheet. See Digital Twin Reporting Software for the reporting side in more depth.
Procedures and Level III review
Operators and EPCs working in the Bakken often ask for procedures before the first technician arrives, and many will not accept a crew until the procedure revision matches their spec. A procedure register that shows revision status at a glance saves days of back-and-forth.
In the Atlantis ERP each procedure has a document number, revision, method (UT, RT, MT, PT, VT, ET, TOFD, PAUT, LT, AE, hardness, PMI, CR, DR and more), scope, material, applicable standard such as ASME Section V, acceptance criteria and either body text or an uploaded file. It moves through draft, submitted, reviewed, approved and published, with rejected and archived states and a required reason for rejection. Approved revisions are locked and every revision keeps a snapshot. Approvers receive email notifications and reminders.
An AI-assisted first draft, which falls back to a built-in template, speeds up routine procedures. A Level III still reviews and approves before anything is published. If you need outside Level III support for the written practice or client-specific procedures, see NDT consulting. Atlantis NDT training is SNT-TC-1A based.
NDT quoting and invoicing software that follows the job
Oilfield work changes after the quote is signed. Standby waiting for a pad to be released, extra shots on a tie-in, a second day at a compressor station: if none of that reaches the invoice, the job loses money quietly.
Quotations record job type, site, project dates and applicable codes, with NDT service products flagged by method and category, a global discount and a branded PDF. Clients accept and sign online, and the quote becomes a sales order. Projects carry job type, site, client PO, contract, methods, codes, scope, acceptance criteria, assigned equipment and technicians, and safety induction and work permit fields. Tasks carry method, technician, component, result, indication and defect counts, and procedure and WPS references.
Timesheets record work type (inspection, travel, standby, setup), method, billable flag, multiplier for overtime or night work, site, client and equipment serial, with approval, and they feed billing. Invoices carry project, job or PO number, site, invoice type and industry sector, with subtotals for labour, equipment and consumables, and lines by cost centre, method, equipment serial, technician and days or hours. Per diems and field expenses from Expenses are re-billed to jobs. The financial dashboard shows revenue, cost of sales, gross margin, operating expenses, EBITDA, outstanding invoices, bills and expenses over twelve months. The KPI dashboards show calibration due or overdue, certificates expiring or expired and issued equipment overdue for return.
Spreadsheets vs generic ERP vs Atlantis ERP for a North Dakota contractor
| Question | Spreadsheets | Generic ERP | Atlantis ERP |
|---|---|---|---|
| Who is on rotation next week? | A calendar on the office wall | HR leave records, not linked to jobs | Availability calendar fed by Time Off; overlaps and double-booking blocked |
| Which truck has the PAUT set? | Phone the crew | Generic asset list | Serial-level issue and return, reservations, movement records |
| Is this technician's vision test current? | Buried in a folder | Not tracked | Vision test record with expiry, 90-day warning task, email alert |
| Can we write the report on a pad with no signal? | Paper, then retype | Usually no | Offline field app with photos, signature and PDF preview |
| Did standby hours reach the invoice? | Only if someone remembers | If manually entered | Timesheets by work type feed invoice lines |
| Does it fit how we work? | Yes, until it breaks | You change your process | Configured to your process during implementation |
Affordable ERP for small NDT companies in North Dakota
Plenty of North Dakota inspection outfits are three to twenty people who started with one truck and a Level II. An affordable ERP for a small NDT company should start with the records that protect the business, certificates, calibration and reports, then add invoicing, CRM and purchasing when the team is comfortable.
That is how an implementation runs. We map your methods, job types, certification matrix, instrument list and the report formats your operators require; import your existing spreadsheets; set up templates with your branding; and pilot on live jobs before the full crew switches. The system runs in the browser and on phones, so there is no server in the yard office to maintain. Larger contractors running multiple spreads get the same system with more users and configuration.
For growth, the CRM records service line, lead source, NDT service type, industry sector, site country and estimated technicians and days, scores leads 0 to 100, imports CSV lists and runs drip email sequences. Site country helps companies that follow work across into Montana or into Saskatchewan. Business card photos from a Bismarck or Williston trade show become leads in one click. Surveys handle competency questionnaires and client feedback, and the eLearning portal with the Practical NDT 3D simulator gives trainees structured study during rotation downtime. To see the system sized for a small crew, book a demo for a small North Dakota NDT company.
Connecting to operator and EPC systems
Larger operators and EPCs in the basin run their own maintenance, procurement and accounting systems, and some want inspection data pushed straight in. The Atlantis ERP has an open REST API and integrates with SAP, Maximo, NetSuite, QuickBooks or any system that accepts API connections. Each integration is scoped per implementation, so we agree which records move and when before anything is built. Many small contractors simply connect invoicing to the accounting package their bookkeeper already uses.
Clients who want to see results on their equipment can use Atlantis Digital Twins, which places indications and damage on a 3D model and trends thickness and remaining life, a clear way to present repeat thickness surveys on vessels and tanks.
