Calgary: where the oil and gas decisions get made, not where most of the fieldwork happens

Calgary's downtown towers hold the head offices of Suncor Energy, Cenovus Energy, Canadian Natural Resources and TC Energy, plus Imperial Oil's corporate head office — companies whose combined upstream, oil-sands, pipeline and refining operations span most of Alberta and reach into British Columbia, Saskatchewan and offshore programs well beyond Canada. None of the physical assets those companies run sit inside city limits; the wells, mines, upgraders, compressor stations and terminals are hundreds of kilometres north, in the Fort McMurray oil sands, along the Industrial Heartland northeast of Edmonton, or strung across pipeline right-of-way crossing provincial and international borders.

For an inspection company, that geography inverts the normal relationship between where you sell and where you work. A firm headquartered in Calgary is usually bidding into a corporate supply-chain or engineering function long before a technician sets foot on an asset, and several competitors are bidding the same operator from the same few city blocks. Prequalification is documentary and centralized: insurance, safety statistics, written practice, technician qualification records and procedure revisions get reviewed by a category manager who compares vendors on file, not by the site supervisor who will eventually watch the crew work.

The staffing consequence is that a Calgary-based inspection company's crews mobilize away from the city more often than not — north to oil-sands turnarounds, east to Industrial Heartland refinery and petrochemical outages, or out along a pipeline corridor for an integrity dig — while the head office has to hold a qualification and calibration record set that travels correctly with them regardless of which Alberta site they land on. Losing track of which technician's ISO 9712 or ASNT SNT-TC-1A currency lapses mid-mobilization is a Calgary-specific risk precisely because the office approving the contract and the site consuming it are never the same place.

That separation also changes who an inspection company is really negotiating with. The engineer who understands NDT scope in detail is rarely the person who signs the master service agreement in a headquarters market like this one; the sourcing or category function that does compares vendors on documented delivery history — completed jobs, findings raised, turnaround times, qualification currency across the crew — rather than on the field relationship a technician built on site. Companies that can produce that history on demand keep renewing; companies relying on the site relationship alone often discover its limits the moment a corporate sourcing review reaches their category, usually with no warning that it was coming.

Calgary is Canada's energy capital with extensive oil and gas headquarters and operations. The region's inspection ecosystem includes pipeline infrastructure, processing facilities, and energy equipment validation serving North American markets. An NDT ERP serving this market has to carry the evidence those operators audit against — ABSA, CER (Canadian Energy Regulator), CSA B51 / B31.3, CGSB 48.

In practice that means aBSA pressure-vessel registration and inspection interval tracking for oil-sands extraction facilities (SAGD, mining). Operators including TC Energy, Enbridge, Husky Energy set the pre-qualification bar their contractors inherit. The system of record for that evidence is the ERP, not a spreadsheet a technician maintains between jobs.

What must an NDT ERP track for inspection firms in Calgary?

Evidence against ABSA, CER (Canadian Energy Regulator), CSA B51 / B31.3, CGSB 48.9712, AER Directive 077. That means each technician's certification currency by method and level, each instrument's calibration status on the day it was used, and every inspection report bound to the asset and the job that produced it. An auditor asks for those three before anything else.

Can an inspection company in Calgary run this alongside its existing accounting?

Yes. The ERP owns operations — jobs, technicians, equipment, reports — and pushes finished invoices to the accounting system, which keeps the chart of accounts, tax and reconciliation. For US firms that usually means QuickBooks; the split is documented in the QuickBooks integration guide rather than forcing a migration nobody asked for.

Does it work offline for field crews in Calgary?

Yes. Field capture runs offline and syncs when the device reconnects, because turnaround decks, tank interiors and remote sites have no usable signal and a record that depends on connectivity is a record that gets rewritten from memory hours later. Offline capture is the difference between a contemporaneous record and a reconstruction.

How long does implementation take for a firm in Calgary?

The configuration follows the codes and workflows above rather than a fixed template, so the timeline is set by how much existing data has to be migrated and cleaned — certification records and calibration history are the two that consume the time. Firms usually run the first job cycle in parallel before cutting over.

What happens to inspection records if a technician leaves?

They stay with the asset and the job, which is the point. Employer-based certification ends when the holder leaves, but the reports they signed remain part of the asset's inspection history and are still auditable. A system that stores records per technician rather than per asset loses that history on every departure.

NDT software in Calgary: one system for the office that sells the work and the crews that do it

Calgary is where most Alberta inspection work gets won, scheduled and billed, even when the technicians spend their weeks at sour gas plants west of the city, on pipeline integrity digs across the province or in oil sands camps far to the north. The producers, the pipeline operators and the engineering firms that write inspection scopes have their head offices downtown, and so do many of the integrity engineers and QA/QC leads who sign off NDT field tickets. For a Calgary NDT company the office is the hub and the field is everywhere else.

That split is where spreadsheets fall apart. The certification register lives on one coordinator's laptop, calibration due dates live on instrument stickers, dispatch lives on a whiteboard in the shop, and invoices get rebuilt by hand from field tickets that arrive a week late. The Atlantis ERP solution replaces that patchwork with one system configured for NDT and inspection companies: technician certifications, procedures, instruments and calibration, crew dispatch, NDT reports, quotes, timesheets and invoicing, all tied to the same job. It is affordable, accessible from the office or the truck, and fully customized to how your company runs. Demo and quote on request.

ERP for NDT companies in Calgary: what the Atlantis ERP actually covers

An ERP for NDT companies in Calgary has to handle the records that generic accounting and field-service tools skip: who is certified for which method, which instrument is in calibration, which procedure revision applies and which report went to which client. The Atlantis ERP handles each of these in a dedicated app, and all the apps share one database.

  • Certificates for technician certifications, vision tests and company accreditations, with automatic expiry status.
  • Procedures for a controlled procedure register with a review and approval workflow and full revision history.
  • Team Assignments for crew dispatch, technician availability and blocked double-booking.
  • Asset Management for instruments, probes and consumables, issue and return, maintenance and calibration records.
  • NDT Reports for 17 report types with an offline field app.
  • Quotations, Timesheets and Invoicing so the work that was quoted is the work that gets billed.

Around those sit CRM, Project, Purchase, Inventory, Fleet, Expenses and Dashboards, all set up for an NDT company rather than a generic service business. The sections below walk through each one against the work Calgary inspection contractors actually do.

Technician certification tracking software for Calgary crews

Technician certification tracking software should tell you, before a crew leaves the city, whether every person on it holds a valid certificate for the methods on the scope. In the Atlantis ERP each certification record holds the scheme, level, method, certifying body, issue, expiry and renewal dates, industry sector, OJT and training hours, exam result and scanned attachments, and the status is computed automatically as active, expiring soon, expired or revoked.

Calgary companies rarely deal with one scheme. Most Canadian technicians hold ISO 9712 certificates issued through the national program now run by the Canadian General Standards Board (formerly administered by NRCan), and the ERP records those alongside SNT-TC-1A employer certifications for US-headquartered clients, CP-189, PCN, CSWIP or anything else under an other scheme. Radiography crews add radiation safety training, radiation badge numbers and medical fitness expiry on the employee NDT profile, and an exposure device operator certificate can be stored as its own certificate record with its own expiry date.

Vision tests are tracked separately with near vision (Jaeger J1/J2), far vision, colour perception, contrast, examiner, clinic, certificate file and expiry. Daily checks create warning tasks 90 days before a certificate or vision test expires, configurable email alerts go to the coordinators who need them, and timesheets warn when a technician logs hours without a valid certificate. Certificate templates per scheme hold the validity period and the minimum OJT and training hours. Atlantis also runs ASNT SNT-TC-1A-based training through the eLearning app for companies that certify staff under a written practice; other schemes are recorded, not taught.

Crew dispatch and scheduling software for pipeline digs and gas plant work

Calgary crews move constantly: an integrity dig near Drayton Valley on Monday, a gas plant shutdown in the foothills by Thursday, a fabrication shop inspection back in the city on the weekend. Crew dispatch and scheduling software has to show who is available, who is qualified and what equipment they are carrying.

In Team Assignments each job moves through planned, dispatched, in field, submitted and closed. The assignment carries site GPS coordinates, which matter when the site is a lease road and a dig number rather than a street address, plus mobilisation and demobilisation dates. The technician availability calendar holds assigned, leave, training, sick and unavailable entries, and overlaps are blocked, so a coordinator cannot put the same Level II on two digs in the same week. The same rule applies to equipment: a phased array unit or a scanner serial number cannot be booked to two jobs at once, and the dispatcher gets a warning if the assigned instrument is out of calibration.

Each technician shows current assignment, status, utilisation percentage and next available date, in calendar, kanban or list views. For a Calgary operations manager juggling a dozen small jobs and one large turnaround, that replaces the phone tree with a board everybody can read. Approved time off feeds the same availability calendar, so leave shows up where the dispatcher is already looking. Fleet records which pickups can carry radioactive sources, the transport licence number and expiry, and which driver and project each vehicle is assigned to.

Calibration management software for instruments that live in trucks

Calibration management software for an NDT company is less about a due date and more about proof. When a client auditor or an owner-user inspection department asks which instrument was used on a weld and whether it was in calibration that day, you need the answer in minutes. The Atlantis ERP tracks every instrument, probe and source-related item by serial number with equipment type, assigned person, condition, asset tag, firmware, accessories and lifecycle status: new, active, in calibration, in repair, rented out, retired or disposed.

Calibration records hold the provider, certificate number, standard, range, uncertainty, accredited-lab flag, result (pass, fail or conditional) and next due date. The calibration certificate register stores the lab accreditation number and PDF with valid, expiring and expired status, and expiry alerts go out by email. Issue and return runs through supervisor and manager approval with condition recorded both ways, which matters in Alberta, where instruments travel hundreds of kilometres in the back of a pickup through a prairie winter and come back with cracked screens or worn cables.

The maintenance log covers preventive, corrective, repair, cleaning, firmware update and probe replacement, with condition before and after. Consumables such as couplant, MT and PT chemicals and PPE carry reorder levels, a low-stock flag and a movement ledger. In Purchase, calibration labs are set up as a vendor type with accreditation number and expiry, and purchase order lines link to the specific serial being calibrated, so the calibration bill and the calibration record point at the same instrument.

NDT reporting software for pipeline integrity and plant inspection in Alberta

NDT reporting software earns its keep when the report is finished before the crew leaves site. The Atlantis ERP includes 17 report types: UT, RT, MT, PT, VT, ECT, IRIS, PAUT, MFL, TOFD, PWHT, PMI, hardness, UT thickness, ferrite, holiday/coating and computed radiography, each with its own numbering sequence.

Method-specific fields do the heavy lifting. UT reports carry a probe calibration table; RT reports capture source, technique, IQI type and placement; MT captures technique and particle type; PT captures method and developer; PAUT captures focal laws; UT thickness records readings by direction. Weld and job lines carry defect type and orientation, and every report ends with an overall result of acceptable, not acceptable or acceptable with remarks. Work order, request, WPS, contract, drawing, procedure and standard references are all captured, which is what a Calgary integrity engineer checks first.

The workflow runs draft, in progress, review, approved and sent, with inspector, reviewer and approver signatures plus a third-party or authorized inspector name and signature where the job needs one. Reports come out on your own versioned company templates in Excel, Word, PDF or HTML, and Excel templates are filled automatically by mapping fields to cells, so clients who insist on their own spreadsheet still get it. The offline field app installs on a tablet or phone, stores drafts and photos without signal and syncs later, which suits foothills digs with patchy coverage. More detail is on the Digital Twin Reporting Software page, and results can be viewed in 3D with Atlantis Digital Twins.

Procedures, audits and the Alberta regulatory context

Alberta NDT work sits inside a thick layer of oversight. ABSA, the province's pressure equipment safety authority, governs pressure equipment and the quality programs of the companies that build and repair it. The Alberta Energy Regulator oversees upstream oil and gas facilities and provincially regulated pipelines, and operators push their own requirements down to the NDT contractors on their approved vendor lists. The ERP does not replace any of those rules, but it keeps the documents those parties ask for in order.

The Procedures app holds a controlled register with document number, revision, method, scope, material, applicable standard such as ASME Section V, acceptance criteria and the body text or an uploaded file. Procedures move through draft, submitted, reviewed, approved and published, with rejected and archived states, and approved revisions are locked. Each revision keeps a snapshot, so when an auditor asks which revision of your shear-wave UT procedure was in force on a given date, you can show it. Approvers get email notifications and reminders for pending approvals, so a procedure does not sit in someone's inbox for a month.

An AI-assisted first draft can speed up a new procedure, falling back to a built-in template, but a Level III still reviews and approves it. NCR and CAPA workflows can be configured during implementation, and company certifications such as ISO 9001 carry their own alert days so a surveillance audit never sneaks up on you.

NDT quoting and invoicing software for Calgary contractors

NDT quoting and invoicing software should let the estimator build a quote in the language of the scope and let accounts bill the job without re-keying field tickets. In Quotations each quote carries job type, site, project dates and applicable codes, with NDT service products flagged by method and category, a global discount and your own branded quotation PDF. Clients can accept and sign online, and the quote converts to a sales order.

Timesheets record work type (inspection, travel, standby, setup), method, site, client, equipment serial, billable flag and rate multiplier, and they go through approval before billing. That captures what Calgary contractors most often fail to bill: standby at a gate waiting for a safe work permit, travel time to a remote lease, overtime multipliers on a shutdown. Expenses handle per diems and field costs that are re-billed to the job.

Invoices carry the NDT project, job or PO number, site, invoice type and industry sector, with subtotals for labour, equipment and consumables. Lines show cost centre, method, equipment serial, technician, rate type and days or hours, which is the level of detail a producer's accounts payable team wants before it releases payment. GST and payment terms are configured during implementation. The financial dashboard shows revenue, cost of sales, gross margin, operating expenses, EBITDA, outstanding invoices, bills and expenses over a twelve-month view.

Inspection management software in Calgary: dashboards and operator integrations

Inspection management software for a Calgary contractor has to answer the owner's Monday questions fast: how many certificates expire this quarter, which instruments are overdue for calibration, which issued equipment has not come back, and which invoices are still outstanding. The Dashboards app gives spreadsheet-style KPI views with those NDT measures built in, next to the financial dashboard.

Many Calgary clients run large enterprise systems for work orders and procurement. The Atlantis ERP has an open REST API and integrates with SAP, Maximo, NetSuite, QuickBooks or any system that accepts API connections, with the scope agreed per implementation. That can mean bringing client work order numbers into your jobs, or pushing approved invoices to your accounting package. Field devices use the same API to fetch the jobs assigned to a technician and the equipment issued to them, and to submit and sync reports.

On the sales side, CRM records service line, lead source, NDT service type, industry sector, site country and estimated technicians and days, with an NDT lead score from 0 to 100 (hot, warm, nurture, cold). Business card scanning turns a card collected at a Calgary energy conference into a CRM lead in one step, and drip email sequences by service line keep follow-up going while your estimators are busy.

Best NDT software for small NDT companies in Calgary

The best NDT software for a small Calgary company is the one the crew will actually open in the truck. A five-person shop doing MT, PT and UT for local fabricators does not need every app on day one. A sensible starting set is Certificates, Asset Management, NDT Reports, Timesheets and Invoicing, which covers the audit trail and the cash flow. Team Assignments, Procedures, CRM and dashboards can be added as you grow into turnaround work or pipeline programs.

Because each implementation is configured rather than sold as a fixed bundle, a small company is not paying for complexity it will not use. Ask for a quote for a small Calgary NDT company, or send us a question about your setup.
