Why NDT reports still eat your week

Most NDT companies don't have a reporting problem on the job. The technician finds the indication, sizes it, and knows whether it passes. The problem starts after that. Readings go into a notebook or onto a wet clipboard. Someone in the office re-types them into a Word template that three different people have edited over the years. The Level II signs, the Level III reviews a printout, and the client gets a PDF three days after the scan.

Every hand-off is a place where a thickness reading gets transposed, a probe serial gets copied from last week's job, or the wrong acceptance standard is left in the header. Clients notice. Third-party inspectors notice. And when an auditor asks which calibration block was used on a weld inspected eight months ago, the answer is in a filing cabinet somewhere.

The NDT Reports app in Atlantis NDT ERP is built to close those gaps. It captures method-specific data at the source, routes each report through inspector, reviewer and approver sign-off, and produces the report in your company's own template. It sits inside the same ERP that runs your jobs, technicians, equipment and invoices, so the report stays connected to the work order that created it instead of floating in a shared drive.

It is affordable, accessible and fully customizable. Pricing is quote on request, based on the scope you need.

17 report types, each with its own fields and numbering

A UT report and an RT report are not the same document with a different title. They record different things, and a generic inspection form forces technicians to squeeze radiography details into free-text boxes. NDT Reports ships with 17 report types, each with its own data structure and its own numbering sequence.

MethodWhat the report captures
Ultrasonic (UT)Probe calibration table, weld and job lines with defect type and orientation, overall result
Radiography (RT) and Computed Radiography (CR)Source, technique, IQI type and placement, weld lines and result
Magnetic particle (MT)Technique and particle type
Penetrant (PT)Method and developer
Phased array (PAUT)Focal laws
Magnetic flux leakage (MFL)Scan mode and item lines
UT thickness (UTT)Readings recorded by direction
VT, ECT, IRIS, TOFD, PWHT, PMI, Hardness, Ferrite, Holiday/coatingTheir own report type and numbering, with job lines and an overall result

Every report ends with an overall result: acceptable, not acceptable, or acceptable with remarks. That three-way result matters more than it looks. Acceptable with remarks lets a Level II record a condition the client should know about without failing the item, and it shows clearly on the report instead of being buried in a comment.

Separate numbering per method means your UT and RT sequences never collide, and a client who asks for all the PT reports on one unit gets a clean sequence rather than a mixed list.

How a report moves from the field to the client

Every report follows the same five-stage workflow. The stages are simple on purpose. Anyone in the office can see where a report sits and who is holding it up.

  1. Draft: the job exists and the report is opened against it, usually from the work order, with the job references already filled in.
  2. In progress: the technician is capturing readings, photos and weld lines, in the field app or on a laptop at the site office.
  3. Review: the inspector submits, and the reviewer, usually a Level II or Level III, checks technique, coverage, sizing and the acceptance standard.
  4. Approved: the approver signs. On client and code work, this is where the third-party or authorized inspector's name and signature are recorded as well.
  5. Sent: the report goes out in your template, and the record shows it has left the building.

Signatures are captured for the inspector, reviewer and approver, so the PDF shows who did what. There is also a field for a third-party inspector or authorized inspector, with name and signature, for jobs where the client's inspector witnesses or verifies the work.

Because the stages are tracked, the questions that normally take a phone call get answered on screen: which reports from last week's shutdown are still in review, which are approved but not sent, and which technician has three drafts open.

Capture in the field, even without signal

Tank farms, pipe racks, ship holds and remote pipeline spreads have one thing in common: bad signal. A reporting tool that needs a live connection gets abandoned on day one, and the notebook comes back out.

The NDT Reports field app is an installable web app. You add it to a tablet or phone like any other app, and it works offline. Drafts and photos are stored on the device and sync when the connection returns. On the device the technician gets:

Behind the field app is a REST API that serves the device the jobs assigned to that technician and the equipment issued to them, accepts report submissions, and handles sync. In practice, the technician opens the app in the morning and sees their jobs and their issued instrument and probes, not a blank form.

It also means the equipment on the report comes from what was actually issued to that technician, not from memory. That one detail removes a common audit finding, where the instrument named on the report was sitting in the calibration lab on the day of the inspection.

References, templates and the report your client receives

A report that cannot be traced back to the contract, drawing and procedure is a weak report. NDT Reports captures the references clients and auditors ask for:

The output uses your templates, not ours. Company templates are versioned and can be Excel, Word, PDF or HTML, with your logo, header and footer. If your clients are used to an Excel-format report, the app fills Excel templates automatically by mapping report fields to cells, so the layout they recognise stays the same while the re-typing stops. Each method also has its own PDF output.

Versioning matters when a client changes its required format halfway through a contract. You add a new template version instead of overwriting the old one, so there is a record of which format was in use and when.

When a client queries a result a year later, the report tells them which procedure and standard were applied, without anyone opening an archive box.

Marine mode for class surveys and ship repair

Marine NDT has its own paperwork. A report for a hull or machinery survey usually needs a vessel cover page, the classification-society certificate, the inspector's qualification and the calibration certificate for the instrument, all in one pack.

NDT Reports has a marine mode for this. It adds a vessel cover page with the vessel photo, inspection location and dates. When the PDF is produced, it merges in:

Inspection photos are laid out in a two-up grid, so a thickness survey with dozens of photos stays readable instead of running to one photo per page.

For a ship repair yard or a marine inspection company, this removes the most tedious part of the job: hunting for the right certificate PDFs, printing them, and scanning the whole pack back together. The surveyor gets one document with everything attached, in a consistent order, every time.

Hull gauging uses the same UT thickness report type, with readings by direction, that your team uses onshore, so nobody has to learn a separate tool for marine work. If you work mostly onshore, marine mode simply stays out of the way.

Featured companion: Digital Twin Reporting Software

The NDT Reports app produces the formal, signed report. Some asset owners want more than that: they want to see where on the asset each finding sits, and how findings in one area relate to the rest of the plant.

That is what Digital Twin Reporting Software is for. It is a separate Atlantis NDT product that places inspection results on a 3D model of the asset. It works alongside the ERP's NDT Reports app: the ERP handles the job, the technician, the equipment, the workflow and the signed report, and the digital twin reporting product gives the client a visual, spatial view of the results.

Why an NDT company would offer both:

To be clear about the split: the ERP app does not build 3D models or digital twins. It is the reporting and workflow engine. The 3D view is the companion product, scoped separately. You can start with NDT Reports and add digital twin reporting later, or ask for both in one quote.

Who uses it, day to day

Everyone works from the same record. The technician's readings, the reviewer's comments and the approver's signature all live on one report, not in three email threads.

Who can create, review and approve is set by role during implementation, in line with your written practice. If you are still defining who is allowed to sign what, our NDT consulting team can help write that into your procedures before the software is configured.

How NDT Reports connects to the rest of the ERP

NDT Reports is one app in Atlantis NDT ERP, and its value grows when it is connected to the others. You can browse them all on the ERP apps page.

None of this is mandatory on day one. Some companies start with NDT Reports and Certificates and add the rest over time. Others move the whole business at once. Both work. Because the ERP is, standard modules for accounting, HR and purchasing sit in the same system rather than in separate subscriptions.

What implementation looks like

Atlantis NDT deploys and sets up the ERP for you. A typical NDT Reports rollout runs like this:

  1. Discovery: we look at your current reports, method by method, and at the formats your main clients demand.
  2. Template build: your Word, Excel or PDF layouts are loaded as versioned templates, with Excel fields mapped to cells where you use Excel.
  3. Numbering and roles: report numbering per method is set to your convention, and inspector, reviewer and approver roles are assigned.
  4. Field app rollout: technicians install the field app on their tablets or phones, and we walk through an offline job with them.
  5. Connected apps: jobs, technicians and equipment are linked so the field app shows the right assignments and issued equipment.
  6. Go-live and adjustment: the first weeks of real reports usually surface small template changes. Those are part of the setup.

Anything your company needs that is not in the standard app, such as an extra field your biggest client insists on or a layout for a client-specific form, is agreed as part of the customization scope. That is the point of a fully customizable system: it fits the way you work instead of forcing a new one.

Pricing depends on scope, number of users and how many apps you take, and it is quote on request. Request an NDT Reports quote and tell us which methods you report most.

Frequently asked questions

Which NDT methods does the report software cover?

Seventeen report types: UT, RT, MT, PT, VT, ECT, IRIS, PAUT, MFL, TOFD, PWHT, PMI, hardness, UT thickness, ferrite, holiday/coating and computed radiography. Each has its own numbering sequence and method-specific fields, such as the probe calibration table for UT, IQI type and placement for RT, and focal laws for PAUT.

Can technicians write reports without internet?

Yes. The field app is an installable web app that works offline. Drafts and photos are stored on the device and sync when a connection is available. Technicians can pick the method, capture photos, sign on screen and preview the PDF before submitting.

Can we keep our existing report formats?

Yes. Company templates can be Excel, Word, PDF or HTML, with your logo, header and footer, and they are versioned. Excel templates are filled automatically by mapping report fields to cells, so clients keep receiving the layout they know.

Does the NDT Reports app build digital twins?

No. The ERP app handles report capture, workflow, sign-off and output. Digital Twin Reporting Software is a separate Atlantis NDT product that places inspection results on a 3D model of the asset and works alongside the ERP app. You can take either or both.

Who signs the report?

The inspector, reviewer and approver each sign within the workflow, and there is a field for a third-party or authorized inspector's name and signature. Which of your staff can hold each role is set during implementation to match your written practice.

Can it handle class society reports for ships?

Yes. Marine mode adds a vessel cover page and merges the classification-society certificate, the inspector's Level II certificate and the calibration certificate into the PDF, with inspection photos in a two-up grid.

How much does it cost?

There is no list price. Atlantis NDT ERP is affordable and quoted to your scope: the apps you take, the number of users and the customization you need.

Built for any business that runs on operations

Most companies do not fail at their craft. They lose time, margin and goodwill in the gaps between the tools they use to run the place — a quoting spreadsheet that does not talk to the job sheet, a job sheet that does not reach accounts, and a compliance folder nobody can search when a client asks. Atlantis closes those gaps by putting the whole operation on one platform, so information is entered once and everything downstream stays in step.

What you can run on it

  • Sales and CRM — leads, quotes, follow-ups and the pipeline that tells you what next month looks like.
  • Projects and job costing — plan the work, track the hours and materials against it, and see the margin while the job is still live rather than at final account.
  • Field and service teams — dispatch, schedules, mobile capture that works with no signal, and sign-off from site.
  • Inventory and purchasing — stock, suppliers, reorder points and goods receipt, joined to the jobs that consume them.
  • People — records, qualifications and licences with renewal reminders, timesheets, leave and payroll.
  • Quality and documents — procedures and forms under revision control, with the audit trail an inspection or accreditation body actually asks for.
  • Accounts — invoicing, expenses, multi-currency and the reporting your accountant stops chasing you for.

Affordable, accessible, fully customizable — and we mean each word

Affordable because the whole suite is included rather than sold to you a module at a time, and because implementation is done by people who have run operations rather than by a chain of subcontractors. Accessible because it runs in a browser and on a phone, works for a small team on day one, and does not need a specialist on staff to keep it alive. Fully customizable because your process is the thing that makes you competitive — the software should bend to it, not the other way round.

Industries we configure for

Service businesses and contractors, manufacturing and fabrication, trading and distribution, laboratories and testing houses, engineering consultancies, construction and facilities, and asset owners across energy, marine, aerospace and infrastructure. Inspection and testing is where we started, and it remains the sector we go deepest in — but the platform underneath is general-purpose, and most of what it does has nothing to do with inspection at all.

What happens when you get in touch

A short conversation, not a sales sequence. We ask how the business runs today and where it hurts, show you the platform doing that work, and send a written quote shaped to your region, your team size and the scope you actually need. No obligation, nothing to install first, and no pressure to decide on the call. Reach out and tell us what you are trying to fix.
