NDT KPI Dashboards for Inspection Companies
KPI dashboards across jobs, reports, certifications and revenue. Request a demo. Affordable. Accessible. Fully customizable. Quote on request.
The questions an NDT manager asks every Monday
Which technicians have certificates running out before the next shutdown? Which flaw detectors are overdue for calibration? Who still has a thickness gauge that should have come back from site last week? How much did we actually invoice last month, and what did it cost us to earn it?
In most inspection companies those answers live in four places: a certification spreadsheet kept by the QA manager, a calibration list on the equipment controller's laptop, a whiteboard in the workshop and the accounts package. Getting a straight answer means phone calls and half a day of cross-checking. By the time the picture is assembled, it is already out of date.
The Dashboards app in Atlantis NDT ERP pulls those answers onto one screen. Because the certificates, instruments, jobs, timesheets and invoices are all held in the same system, the dashboard is not a separate report somebody has to refresh. It reads the live records that your team already keeps as part of their daily work.
This page explains what the dashboards show for an NDT company, who uses them, where the numbers come from, and what setting them up looks like. Atlantis NDT ERP is, pre-configured for inspection service providers and in-house NDT departments, and deployed by our team. It is affordable, accessible and fully customizable, and pricing is quote on request.
What the Dashboards app shows an NDT company
The Dashboards app gives you spreadsheet-style KPI dashboards. For an NDT business, the starting point is the set of numbers that cause real trouble when nobody is watching them:
- Equipment calibration due and overdue – instruments and probes whose calibration is coming up or has lapsed, taken from the calibration records in Asset Management.
- Technician certifications expiring and expired – drawn from the Certificates app, where each cert carries its scheme, level, method and expiry date.
- Issued equipment overdue – kit that was issued to a technician or site and has not come back when it should have.
- Financial performance – revenue, cost of sales, gross margin, operating expenses, EBITDA, outstanding invoices, bills and expenses, with a 12-month view.
That split matters. An NDT company can be profitable and still lose a client because a Level II's PT cert lapsed the week before a job. It can also have a spotless compliance record and still be slowly bleeding cash on unbilled standby days. The dashboards put both sides in front of you together.
Because the dashboards are spreadsheet-style, they are not a fixed screen you are stuck with. Additional KPIs that suit your business, such as a view by service line, by client or by region, are configured during implementation as part of the customization scope agreed with you. We start with the NDT indicators above and extend from there once you have used them for a few weeks and know what you actually look at.
The compliance view: certificates and calibration at a glance
Compliance is where an NDT company's reputation is won or lost. Auditors, clients and third-party inspectors all ask the same two questions: was the technician qualified on the day, and was the instrument calibrated on the day? The dashboard is there so you know the answer before they ask.
On the certification side, every technician cert in the Certificates app has a status that the system works out automatically: active, expiring soon (within 90 days), expired or revoked. The dashboard counts those statuses so the QA manager or Level III sees at a glance how many certs are heading for expiry and how many have already gone. The detailed lists sit behind the Expiring Soon and Expired menus in the Certificates app, so the person following up goes straight to the names.
Vision tests are handled the same way. Near vision, far vision and colour perception tests have expiry dates, and the daily checks in the ERP create warning tasks 90 days before either a cert or a vision test expires. A technician with a current UT Level II but a lapsed eye test is not someone you want signing a report, and the system treats it that way.
On the equipment side, calibration records in Asset Management hold the provider, certificate number, pass, fail or conditional result and next due date. The calibration certificate register tracks whether each certificate is valid, expiring or expired. The dashboard turns that into a count of instruments due and overdue.
The practical effect: the compliance meeting becomes a quick look at a screen instead of an afternoon of spreadsheet reconciliation, and nobody finds out on site that something they rely on has lapsed.
The equipment view: finding kit before it goes missing
Every NDT company knows the feeling. A client calls for a PAUT job next week, the scanner is booked out on paper, and nobody is sure where the encoder and the wedge set actually are. Or an ultrasonic flaw detector comes back from a remote site weeks late with a cracked screen and no record of who had it.
Atlantis NDT ERP handles equipment through the Asset Management app: every instrument, probe and accessory tracked by serial number, with an issue and return workflow that records the condition of the item going out and coming back, and supervisor and manager approval on the issue. The Dashboards app adds the overview: a count of issued equipment that is overdue for return.
That single number changes behaviour. The equipment controller sees it every morning and chases the item while the technician still remembers where it is. Operations managers see it too, so the conversation happens before the kit is needed for the next job rather than after.
Put it next to the calibration due and overdue counts and you get a realistic picture of what equipment is actually available: not just what you own, but what is in the building, out of calibration, and fit to go to site. Team Assignments already warns planners if they assign an out-of-calibration instrument to a job and blocks double-booking of the same serial number; the dashboard gives the manager the wider view across the whole instrument pool.
If you track rental kit or consumables such as couplant, MT inks and penetrant sets with reorder levels, those records live in Asset Management as well, and extra dashboard views on them can be added during implementation.
The financial dashboard: margin, not just revenue
Inspection is a labour-and-equipment business with little room for error. A job quoted on day rates can quietly lose money through standby, extra travel or kit that sat idle on site. Owners usually find out when the accountant closes the quarter.
The financial dashboard in Atlantis NDT ERP shows:
- Revenue and cost of sales
- Gross margin
- Operating expenses and EBITDA
- Outstanding customer invoices
- Supplier bills and employee expenses
- A 12-month view, so you see the trend and not just the current month
The numbers come from the Invoicing app, where NDT invoices already carry the project, job or PO number, site, invoice type and industry sector, and split subtotals for labour, equipment and consumables. Invoice lines can hold the cost centre, method, equipment serial, technician, rate type and days or hours. That structure is what makes the dashboard useful to an NDT business rather than a generic profit and loss statement.
Outstanding invoices deserve a special mention. Many inspection firms work for large operators and EPCs with long payment cycles and strict PO matching. An invoice rejected because the PO number was wrong can sit unnoticed for weeks. Seeing the outstanding total every week, next to revenue, keeps cash collection on the agenda.
The financial dashboard is for the owner and the finance lead, not for everyone. Who can see which dashboard is set up during implementation, so technicians and planners see the operational KPIs while commercial figures stay with the people who need them.
Who uses the dashboards, and what each role looks for
An NDT company is usually small enough that people wear several hats, but the questions each role asks are distinct.
Owner or managing director
Looks at the 12-month financial view, gross margin and outstanding invoices, then glances at the compliance counts. The owner wants to know two things: are we making money, and is anything about to embarrass us in front of a client?
Operations manager
Focuses on issued equipment overdue and calibration due, because those decide whether next week's jobs can be staffed and equipped. Works hand in hand with the planners who use Team Assignments.
QA manager or NDT Level III
Owns the certification and vision-test picture. Uses the expiring and expired counts to schedule renewals, eye tests and re-examinations well before they bite. Also keeps an eye on company certifications such as ISO or API-type accreditations, which the Certificates app tracks with their own alert days.
Equipment controller or stores
Uses the overdue-issue and calibration counts as a daily to-do list: chase returns, book calibrations, move instruments into the right lifecycle state.
Finance
Watches outstanding invoices, bills and expenses, and uses the financial dashboard for month-end review.
Each role gets the dashboard that answers its questions, rather than one crowded screen for everybody. Which KPIs appear for which group is decided with you during implementation.
Where the numbers come from: the apps behind the dashboard
A dashboard is only as honest as the data under it. The Atlantis NDT ERP dashboards are useful because nobody types numbers into them. They read records created as a by-product of normal work in the other apps.
| Dashboard figure | Where it comes from | Who keeps it up to date |
|---|---|---|
| Certs expiring or expired | Certificates app: scheme, level, method, expiry date, computed status | QA manager or Level III |
| Calibration due or overdue | Asset Management: calibration records and certificate register | Equipment controller |
| Issued equipment overdue | Asset Management: issue and return workflow | Stores and technicians |
| Revenue, margin, outstanding | Invoicing: NDT invoices, bills, expenses | Finance |
Behind those sit the operational apps. Timesheets capture billable hours by method, site and work type, which feed billing. Project holds each NDT job with its client PO, methods, codes and assigned crew. Team Assignments dispatches technicians and equipment and blocks double-booking. Quotations turn into sales orders and then invoices.
Inspection reports themselves are produced in the NDT Reports app. If you also want inspection results placed on a 3D model of the asset for your clients, that is our companion product, Digital Twin Reporting Software, which works alongside the ERP as a separate product.
The point is simple: if your team uses the apps for their daily jobs, the dashboard stays current on its own. There is no separate monthly exercise to update the KPIs.
A week with the dashboards: how teams actually use them
Software earns its keep when it slots into a routine. Here is how a typical NDT company might build the dashboards into its week.
- Monday morning ops meeting. The operations manager puts the operational dashboard on the screen. Overdue issued equipment gets an owner and a return date. Calibration due items are booked with the lab. Anyone with a cert in the expiring window is flagged to the planners so they are not assigned to long jobs that run past their expiry.
- Daily, first thing. The equipment controller checks the overdue and calibration counts before the vans leave. The ERP's daily checks have already created warning tasks for certs and vision tests coming up in the next 90 days, and configurable email alerts go to the people you chose for technician certs, calibration certificates and company certifications.
- Mid-week, QA. The Level III works through the expiring list: vision tests to book, OJT and training hours to confirm, renewals to submit to the certifying body.
- Month end. The owner and finance review the financial dashboard: revenue against cost of sales, gross margin, operating expenses and EBITDA, and the outstanding invoice total. The 12-month view shows whether this month is a blip or a trend.
- Before an audit. The QA manager checks that the expired counts are zero or explained, and that the calibration certificates behind recent work are valid.
None of that requires a new habit beyond looking at a screen. The records are already there because the team uses the ERP to issue kit, log hours, record certs and raise invoices.
Setting up Dashboards: what implementation looks like
Atlantis NDT deploys and sets up the ERP for you. For the Dashboards app, the work is less about the dashboard itself and more about getting clean data into the apps it reads from.
- Discovery. We talk through how you run jobs, which methods you offer, which certification schemes your technicians hold (SNT-TC-1A, CP-189, ISO 9712, PCN, CSWIP or others), how you calibrate instruments and how you invoice.
- Data load. Technician certs, vision tests, instrument lists with serial numbers and calibration dates, and open customers and invoices are loaded from your spreadsheets. This is the step that makes the first dashboard meaningful.
- Dashboard configuration. We set up the NDT KPIs and the financial dashboard, decide who sees what, and add any extra views you ask for within the agreed customization scope.
- Alerts. Recipients, look-ahead days and resend intervals for cert, calibration and company-certification emails are set to match how your QA and stores teams work.
- Training and handover. Short sessions for each role, so the people who keep the records understand why it matters to the dashboard.
You can start with Dashboards alongside Certificates and Asset Management and add Invoicing later, or roll out the whole ERP at once. See the full list of ERP apps or the Atlantis NDT ERP overview to plan what fits your company.

Frequently asked questions
What KPIs do the NDT dashboards show out of the box?
Equipment calibration due and overdue, technician certifications expiring and expired, issued equipment overdue for return, and a financial dashboard with revenue, cost of sales, gross margin, operating expenses, EBITDA, outstanding invoices, bills, expenses and a 12-month view.
Can we add our own KPIs?
Yes. The dashboards are spreadsheet-style, and additional KPIs such as views by client, service line or region are configured during implementation as part of the customization scope agreed with you.
Do we need to update the dashboard manually?
No. The figures come from records your team already keeps in the Certificates, Asset Management, Timesheets and Invoicing apps. Keep those current and the dashboard stays current.
How early does the system warn about expiring certificates?
A cert is marked expiring soon 90 days before its expiry date, and daily checks create warning tasks at that point for certs and vision tests. Email alert recipients, look-ahead days and resend intervals are configurable.
Can technicians see the financial figures?
Only if you want them to. Access to each dashboard is set up by role during implementation, so commercial figures stay with owners and finance.
Is this just a generic Atlantis ERP dashboard?
It runs on Atlantis ERP, but the KPIs are built around NDT records: technician certs by scheme and method, instrument calibration, equipment issue and return, and invoices structured by project, site, method and technician.
How is Atlantis NDT ERP priced?
Pricing is quote on request, based on the apps you need and the customization scope. The aim is to be affordable and accessible for NDT companies of any size.

Built for any business that runs on operations
Most companies do not fail at their craft. They lose time, margin and goodwill in the gaps between the tools they use to run the place — a quoting spreadsheet that does not talk to the job sheet, a job sheet that does not reach accounts, and a compliance folder nobody can search when a client asks. Atlantis closes those gaps by putting the whole operation on one platform, so information is entered once and everything downstream stays in step.
What you can run on it
- Sales and CRM — leads, quotes, follow-ups and the pipeline that tells you what next month looks like.
- Projects and job costing — plan the work, track the hours and materials against it, and see the margin while the job is still live rather than at final account.
- Field and service teams — dispatch, schedules, mobile capture that works with no signal, and sign-off from site.
- Inventory and purchasing — stock, suppliers, reorder points and goods receipt, joined to the jobs that consume them.
- People — records, qualifications and licences with renewal reminders, timesheets, leave and payroll.
- Quality and documents — procedures and forms under revision control, with the audit trail an inspection or accreditation body actually asks for.
- Accounts — invoicing, expenses, multi-currency and the reporting your accountant stops chasing you for.
Affordable, accessible, fully customizable — and we mean each word
Affordable because the whole suite is included rather than sold to you a module at a time, and because implementation is done by people who have run operations rather than by a chain of subcontractors. Accessible because it runs in a browser and on a phone, works for a small team on day one, and does not need a specialist on staff to keep it alive. Fully customizable because your process is the thing that makes you competitive — the software should bend to it, not the other way round.
Industries we configure for
Service businesses and contractors, manufacturing and fabrication, trading and distribution, laboratories and testing houses, engineering consultancies, construction and facilities, and asset owners across energy, marine, aerospace and infrastructure. Inspection and testing is where we started, and it remains the sector we go deepest in — but the platform underneath is general-purpose, and most of what it does has nothing to do with inspection at all.
What happens when you get in touch
A short conversation, not a sales sequence. We ask how the business runs today and where it hurts, show you the platform doing that work, and send a written quote shaped to your region, your team size and the scope you actually need. No obligation, nothing to install first, and no pressure to decide on the call. Reach out and tell us what you are trying to fix.
