Personnel Certification Tracking for NDT Technicians

One technician is a stack of expiry dates

Start with one real technician: UT Level II, MT Level II, PT Level II, working toward RT. That is three method certifications, each with its own expiry under the written practice, an annual near-vision examination, a color-vision record, an OJT ledger accumulating radiography hours, plus a TWIC card and two client site orientations. Nine live credentials, six of which can ground him — and every US inspection company holds a stack like this for every technician on the payroll, because under SNT-TC-1A the company itself is the certifying body.

Scale that to a crew of twenty and the matrix crosses a hundred cells of method certifications alone before the vision exams and badges are counted. The failure mode is never ignorance — every Level III knows what the written practice requires. It is arithmetic at scale: some cell in the matrix is red today, and finding it requires checking all of them. That is a software problem, and the near-total absence of credible products addressing it is the gap this page maps.

Rendered properly, the matrix is one screen: technicians down the side, method-level pairs across the top, each cell colored by status with the expiry date visible — green current, amber inside the warning window sized to real renewal lead times, red lapsed. That single view answers the operational question (who can I send tomorrow) and the planning question (whose renewals cluster next quarter) at once, and it is the first screen a client auditor should be shown.

SNT-TC-1A: the employer is the certifying body

The US answer first: American industry certifies NDT personnel under the employer-based model of SNT-TC-1A, ASNT's recommended practice, or its mandatory-language sibling ANSI/ASNT CP-189 where contracts invoke it. The employer writes a written practice, trains and examines its own people, and issues certifications valid only inside that company. When a technician changes employers, the new company certifies them again under its own practice. Aerospace runs the parallel NAS 410 framework; the structure — employer responsibility, controlled document, per-method certification — is the same shape.

Contrast ISO 9712, the central-certification scheme common outside the United States: a certification body examines the person and the credential travels with them. Under that model, a registry tracks expiry for you. Under the US model, nobody outside your company tracks anything — the examination records, the OJT evidence, the vision results, and every expiry date exist only in your files. Employer certification is why certification tracking software is not an optional convenience for a US inspection contractor; it is the certifying body's own record system.

The written practice is the configuration file

Every number the software enforces comes out of one document. The written practice fixes, for your company: initial training hours per method and level, experience hours, examination structure and grading, vision-examination requirements and frequency, interruption-of-service rules, and recertification intervals — with three-year and five-year cycles both standard choices for Levels I and II. Configuring the tracker means transcribing those decisions faithfully: interval per method-level pair, warning windows sized to renewal lead times, OJT targets per method, and the gate rules that act on them.

Bind the versions. Certifications issued under revision C of the written practice should carry that fact on the record, because when revision D tightens an experience requirement, the audit question becomes which certifications were issued under which rules. Vision examinations: the annual date that grounds everyone

Near-vision acuity is examined annually under SNT-TC-1A-based written practices, and color and contrast differentiation at the interval the practice sets. The operational teeth: a lapsed vision exam does not suspend one method — it suspends the technician, because every method's certification presumes current vision. In the matrix it is a row-level credential, one date that turns every cell in the technician's row red at once, which is exactly why it deserves its own alert stream rather than a note in a personnel file.

Tracking it well means treating the exam as a first-class record: examination date, examiner, the test used, corrected or uncorrected, result, and next-due date. Batch the renewals — an annual company-wide vision day collapses twenty individual expiry dates into one scheduled event, with stragglers visible on the matrix afterward. Size the alert window to how the exams are actually delivered: thirty days is workable when a visit to the occupational clinic closes the gap the same week.

OJT hours: the ledger that starts before the certification exists

Experience accumulation is the untracked half of certification. A trainee's creditable hours accrue shift by shift, per method, under documented supervision, until the written practice's requirement is met and examination becomes possible. The clean implementation ties the ledger to timesheets: a time entry tagged UT on a job under a named Level II supervisor is one creditable increment, captured the day it happened. The alternative — reconstructing two years of hours from memory at exam time — produces exactly the OJT logs auditors challenge first.

The ledger should show, per trainee per method: hours to date, hours required, projected examination date at the current pace, and the supervision trail behind every entry. That projection is workforce planning — it tells the operations manager which month a fourth UT Level II appears and whether the RT pipeline is empty. The crew-assignment gate: can this tech legally do this job today?

The gate is one question asked automatically at scheduling time: can this technician legally perform this work, today and through the job's end date? Decomposed: does the job's method-level requirement match a current certification; is the vision examination current; for RT, are the radiation-safety credential and dosimetry in place; does the site require badges or orientations the technician holds. Any miss blocks the assignment with the reason displayed — not a warning to click through, a block, for the same reason out-of-cal instruments leave the assignable pool.

The end-date clause is the difference between a gate and a report. A four-week turnaround assigned to a technician whose UT II expires in week three passes every start-date check and fails on site — mid-job, when replacement means demobilizing one person and qualifying another. The gate evaluates expiry against the job's whole window and either blocks the assignment or drives the renewal to happen first. Every report signed by a technician whose certification had lapsed becomes a client-notification conversation; the gate exists so that conversation never starts.

Audit day: what the client's Level III pulls

Certification audits run on sampling: pick two technicians from last month's jobs, produce the files. A complete pull per technician: the current certifications with issue and expiry dates, the examination records behind each — general, specific, practical, with scores and the administering Level III — the vision-examination record, the OJT evidence supporting the level held, and the written-practice edition each certification was issued under. The renewal pipeline: where tracking meets training

Tracking expiry dates without a renewal pipeline is just scheduled bad news. The working loop: the matrix's amber band feeds a renewals queue; the queue drives examination scheduling and refresher training; completions write back to the matrix. Recertification under the written practice — by examination or by the continuing-performance evidence the practice specifies per level — gets planned in the quarter before expiry and batched where renewals cluster, so the Level III administers one exam session instead of five.
