An NDT job looks simple from the outside: a client needs welds, vessels or pipework inspected, you send qualified people with calibrated equipment, and you deliver reports. Inside the company it is a tangle. The PO is in someone's email. The scope and acceptance criteria are in the client's specification PDF. The crew is on the planning whiteboard. The equipment is in the stores book. The results are scattered across report drafts, and the defect count the client asks for at the end of the week has to be totted up by hand.
When the operations manager is on leave, nobody else can piece the job together. When the client disputes an invoice, it takes a day to find the PO number and the agreed scope. When an auditor asks which procedure revision was used on a job six months ago, the answer depends on who remembers.

What an NDT job record holds
Generic project software asks for a name, a deadline and a list of tasks. An NDT job needs more than that, and the Project app is set up with fields that match how inspection work is actually specified and delivered.

Filling these in once, at the start of the job, saves them being rediscovered again and again: by the planner choosing a crew, by the technician checking acceptance criteria on site, by the reviewer checking the report, and by the accounts team raising the invoice. Everyone reads the same record.
Tasks: breaking a job into components, methods and results
Most NDT jobs are made of many smaller pieces of work: a batch of butt welds on a spool, nozzles on a vessel, a run of pipe supports, a tank floor, a set of castings. The Project app handles those as tasks under the job, and each task carries NDT-specific information:
- Method – the technique applied to that piece of work.
- Technician – who performed it.
- Component – the weld, item or area inspected.
- Result – the outcome for that task.
- Indication and defect counts – how many indications were recorded and how many were rejectable defects.
- Procedure and WPS references – the procedure used and, for weld inspection, the welding procedure specification the weld was made to.
Structured this way, the job becomes something you can query. How many welds has RT covered on this spool package? How many defects have been found so far this week? Which technician inspected the nozzle the client is now asking about? The answer is in the task list rather than in a stack of paper.
How you split tasks is up to you. Some companies create a task per component, others per method per area, others per shift. We agree the approach that suits your work during implementation, so tasks are useful without turning into admin.
Tasks move through stages on a kanban board, which gives the crew lead and the operations manager a simple visual of what is waiting, in progress and complete. List views make it easy to filter by method, technician or result when the client asks for a summary.
From quotation to job to invoice
A job does not start in the Project app. It starts with an enquiry, turns into a quotation and becomes work only when the client accepts. Atlantis NDT ERP keeps that thread unbroken.
- Quotation. In the Quotations app, you build the quote with job type, site, project dates and applicable codes, using NDT service products flagged with method and category, and send a branded quotation PDF. The client can accept and sign online.
- Sales order. The accepted quote converts to a sales order. It can be set up so that confirming the order creates the NDT project for the job, so nobody has to re-type the client, site and scope.
- Job execution. The project holds the PO, methods, codes, acceptance criteria and crew. Tasks track the work and its results.
- Time capture. Technicians log hours in Timesheets against the job, with work type (inspection, travel, standby, setup), method, billable flag, rate multiplier, site and equipment serial.
- Invoice. Billable hours feed billing. NDT invoices carry the project, job or PO number, site and industry sector, with subtotals for labour, equipment and consumables.
The benefit is not only speed. It is that the invoice matches what the client ordered and what the crew actually did, with the PO number the client expects. Fewer invoices bounce back from the client's accounts payable team, and fewer billable standby hours are forgotten.

Crew and equipment: the right people and calibrated kit on every job
The job record lists assigned technicians and equipment. Planning who goes where, and when, is done in the Team Assignments app, which works hand in hand with Project.
Team Assignments runs a dispatch workflow from planned, to dispatched, to in field, to submitted and closed, with site coordinates and mobilisation and demobilisation dates. Its availability calendar tracks each technician as assigned, on leave, in training, sick or unavailable, and blocks overlaps. It also blocks double-booking of the same technician or the same equipment serial number, and warns when an instrument assigned to a job is out of calibration.
Put together with Project, that means:
- The planner sees which technicians are free for the job dates, not just who is certified.
- The flaw detector or PAUT unit committed to one job cannot be promised to another at the same time.
- An instrument with lapsed calibration is flagged before it goes to site, not after the report is questioned.
Qualification is checked at the other end too. Technicians' certifications live in the Certificates app with scheme, level, method and expiry, and a status worked out automatically. When hours are logged in Timesheets, the system warns if the technician's certificate is not valid. That gives the QA manager a safety net against someone working outside their certification.
Equipment itself, with serial numbers, issue and return, calibration records and maintenance, is managed in Asset Management. Project shows what has been committed to this job, so everyone involved sees the same list.
Codes, procedures and acceptance criteria on every job
An inspection is only as good as the criteria it is performed to. A technician who applies the wrong acceptance table, or works to last year's procedure revision, can turn a clean job into a re-inspection and a disputed invoice.
The Project app keeps the technical basis of the job on the job record: the codes that apply, the scope and the acceptance criteria. Tasks carry procedure and WPS references, so each piece of work is tied to the document it was done to.
Procedures themselves are controlled in the Procedures app. Each has a document number, revision, method, scope, applicable standard and acceptance criteria, with a draft, review, approval and publish workflow and a full revision history. Approved revisions are locked. When a task references a procedure, the reviewer and any auditor can see which controlled document was meant.
For weld inspection, the WPS reference matters because it ties the inspected weld to the welding procedure and, through that, to the material and process details the client's QA/QC team cares about. Recording it on the task saves the reviewer from searching the client's documentation later.
This also helps with client and third-party audits. When someone asks which procedure and acceptance criteria were applied to a particular component, you open the job and the task instead of reassembling it from memory. The link from job to report is completed in the NDT Reports app, where each report captures its own work order, drawing, WPS, procedure and standard references.
If your clients issue their own specifications and technique sheets, how those are attached to jobs is agreed during implementation.
Site safety: induction and work permits
NDT crews work in some of the most controlled environments in industry: live refineries, petrochemical plants, power stations, offshore installations and busy fabrication yards. Getting a crew through the gate means inductions, permits and, for radiography, radiation safety arrangements. Missing one of those can cost a whole shift.
The Project app records safety induction and work permit fields against each job. That gives the planner and crew lead one place to check the site requirements before mobilising, rather than relying on the memory of the last person who went to that site.
In practice, NDT companies use these fields to answer questions like:
- Does this site require a client induction before arrival, and has the crew done it?
- What permit arrangements apply, and who on the client side issues them?
- Are there site-specific requirements the crew lead should brief on day one?
Other apps support the same goal. The Fleet app records whether a vehicle can carry radioactive sources, with transport licence number and expiry. The Employees app holds each technician's NDT profile, including radiation safety training, radiation badge number and medical fitness expiry. Surveys can be used for short site-rules knowledge checks before mobilisation.
None of this replaces your safety management system or the client's own rules. It puts the practical details in the job record, so the crew that turns up at the gate is the crew that is ready to work.

Reports and results: from task to client deliverable
A job ends with a deliverable, and in NDT that is a set of reports the client can rely on. The Project app tracks the work; the reports are produced in the NDT Reports app, which covers 17 report types including UT, RT, MT, PT, VT, PAUT, TOFD and UT thickness, with a draft, review, approval and send workflow and inspector, reviewer and approver signatures.
Reports capture their own references, such as work order, request, WPS, contract, drawing, procedure and standard, so the report and the job line up. Task results and defect counts in Project give the operations manager a running picture while the formal reports are being written and reviewed.

Is this just the standard Atlantis ERP Project app?
It is Project, configured for NDT. Jobs carry NDT job type, site, client PO, contract, methods, codes, scope, acceptance criteria, assigned technicians and equipment, job status and safety induction and work permit fields. Tasks carry method, technician, component, result, indication and defect counts, and procedure and WPS references.
Can we see all live jobs at once?
Yes. Jobs are shown in kanban and list views that can be grouped and filtered by status, client, site or job type. Technician scheduling is handled in Team Assignments, which has calendar, kanban and list views.
Can a confirmed quote create the job automatically?
It can be set up so that confirming the sales order creates the project. The exact mapping is configured during implementation.
Can technicians update tasks from site?
Technicians with access can update task results and counts in the ERP. Inspection reports themselves are captured in the NDT Reports offline field app, which works without signal and syncs later.
Will it stop us sending an unqualified technician?
It gives you several checks. Timesheets warns when a technician's certificate is not valid, the Certificates app flags certs as expiring soon or expired, and Team Assignments blocks double-booking and warns about out-of-calibration equipment.
Does it work for in-house NDT departments, not just service companies?
Yes. Owner-operators and fabricators with their own NDT teams can run internal work as jobs. How the client fields map to internal departments is configured during implementation.
