What Implementation Actually Looks Like
Discovery is the phase most companies underestimate. Before any module goes live, the real question is where the company's operational data currently lives — calibration certificates as PDFs or paper in a filing cabinet, technician certification records in HR spreadsheets that don't talk to project scheduling, job costs reconstructed after the fact from invoices rather than tracked in real time against the scope. Mapping that landscape honestly, including where records are incomplete or inconsistent, takes longer than most companies expect and determines almost everything about how the rest of the implementation goes.
Data migration follows, and it is rarely a clean export-import. Calibration records need to be matched to specific instrument serial numbers with next-due dates recalculated against the calibration interval, not just copied as static text. Each lead gets an NDT lead score from 0 to 100, grouped as hot, warm, nurture or cold. Leads can be imported from CSV, previewed with an AI-personalised email, and enrolled in a drip email sequence by service line, with pause, resume and unsubscribe handled. Technician certification tracking software for NDT has to follow the scheme, level and method, not only a date. The Certificates app records each certification with scheme (SNT-TC-1A, CP-189, ISO 9712, PCN, CSWIP or other), level (trainee, I, II, III), method, certifying body, issue, expiry and renewal dates, industry sector, OJT hours, training hours, exam result and attachments.
Status is computed automatically as active, expiring soon (within 90 days), expired or revoked, with Expiring Soon and Expired menus for the quality manager. Procedures run through draft, submitted, reviewed, approved and published, with rejected and archived states. Prepared, reviewed and approved by are recorded with dates, approved revisions are locked, and rejections carry a reason. Every revision keeps a snapshot, so you can show an auditor exactly what the procedure said on the day a job was done. An AI-assisted first draft can speed up writing a new procedure, falling back to a built-in template, but a Level III still reviews and approves it. Approvers get email notifications and reminders for anything waiting on them.
Calibration management software for NDT: Asset Management
Calibration management software for NDT has to work at serial-number level and connect to dispatch. The Maintenance app handles preventive and corrective requests on instruments, vehicles and site equipment, the Inventory app holds stock by serial, and the Purchase app records vendor types (OEM, dealer, calibration lab), accredited-lab status with accreditation number and expiry, and order lines tied to a specific equipment serial.
NDT Reports and Digital Twin Reporting
The NDT Reports app is where the inspection itself is recorded, and it is the heart of the Atlantis ERP. It includes Digital Twin Reporting Software, our reporting engine for field and office.
There are 17 report types, each with its own numbering: UT, RT, MT, PT, VT, ECT, IRIS, PAUT, MFL, TOFD, PWHT, PMI, hardness, UT thickness, ferrite, holiday/coating and computed radiography. Method-specific data is captured properly: UT probe calibration tables, RT source, technique, IQI type and placement, MT technique and particle type, PT method and developer, PAUT focal laws, MFL scan mode, UT thickness readings by direction, and weld lines with defect type and orientation. Reports move from draft to in progress, review, approved and sent, with inspector, reviewer, approver and third-party or authorized inspector signatures, and references to work order, WPS, contract, drawing, procedure and standard. Versioned company templates in Excel, Word, PDF or HTML keep your branding, and Excel templates fill automatically from mapped cells.
In the field, technicians use an installable web app that works without signal, stores drafts and photos on the device and syncs later, with a method picker, photo capture, on-screen signature and PDF preview. Marine inspection companies get a vessel cover page and a PDF that merges the classification-society certificate, the inspector's Level II certificate and the calibration certificate. When results need to be seen in 3D, Atlantis Digital Twins visualises inspection data on the asset, with damage and indication mapping and thickness and remaining-life trends.
Timesheets, Expenses and Invoicing
The Timesheets app records work type (inspection, travel, standby, setup), method, billable flag, rate multiplier, site, client, equipment serial and approval, and warns if the technician's certificate is not valid. Approved billable time feeds billing, so standby and travel days reach the invoice.
The Invoicing app carries the NDT project, job or PO number, site, invoice type and industry sector on the header, with labour, equipment and consumables subtotals. Lines show cost centre, method, equipment serial, technician, rate type and days or hours, with a custom invoice layout. Payments, reminders and taxes, including US state sales tax or Canadian GST/HST and PST, are configured per country during implementation. The Expenses app handles field expenses and per diems re-billed to jobs.
Dashboards for owners and quality managers
The Dashboards app gives spreadsheet-style KPI dashboards. NDT KPIs include equipment calibration due and overdue, certificates expiring and expired, and issued equipment overdue for return. The financial dashboard shows revenue, cost of sales, gross margin, operating expenses, EBITDA, outstanding invoices, bills and expenses over 12 months. Owners get the money view; quality managers get the compliance view; both come from the same live data.
eLearning and Practical NDT
The eLearning app runs your internal training portal, with Level I, II and III sections, video lessons streamed from OneDrive or SharePoint with download protection, quizzes whose questions can be imported from Word files, and certificates of completion. Admins create learner accounts and grant or revoke access, learners have their own dashboard, invited members join automatically, and courses can be sold online.
The Practical NDT section links to Practical NDT, our 3D practice simulator, so trainees can rehearse technique before touching real equipment. Atlantis NDT's own training follows ASNT SNT-TC-1A; the eLearning records sit alongside the training hours logged in the Certificates app.
Custom apps built on request
If your company has a workflow none of the standard apps covers, a custom app can be built on request and connected to the same data.
