NDT Inspection Management Software for Inspection Companies in Poland
Short answer: The Atlantis ERP solution is a fully customized ERP for NDT and inspection companies working in Poland. It holds PN-EN ISO 9712 certificates from UDT-CERT, the Łukasiewicz institute or other bodies alongside ASNT SNT-TC-1A and CP-189 records, with automatic expiry status; it controls calibration on every instrument, plans crews for shipyards, offshore wind, refineries, power plants and fabrication shops, captures reports offline and handles quotation through invoicing. Implementation is remote and typically takes 2 to 4 weeks from kickoff, depending on how clean your existing records are. Affordable. Accessible. Fully customizable. Request a Poland demo.
Poland has become one of Europe's busiest places for steel fabrication and inspection. Its shipyards build offshore substations and specialist vessels, its fabricators ship pressure equipment and structures across Europe and beyond, its refineries and chemical plants run regular turnarounds, and the first Polish offshore wind farms are going into the Baltic. Polish NDT technicians are also in demand abroad, so a company may have staff on a Norwegian platform, a German power plant and a Gdańsk yard at the same time, each under a different client's rules. That puts pressure on the back office: certificates in several schemes, instruments moving between sites, reports in several formats, and invoices in more than one language. This page explains where the work is, what clients and regulators expect, and how the Atlantis ERP handles it.
Poland's inspection market: the main clusters
Direct answer: NDT work in Poland centres on the Baltic coast (Gdańsk, Gdynia and Szczecin shipyards, ports, the Gdańsk refinery, offshore wind and LNG), Mazovia (the Płock refinery and petrochemical complex), Silesia and Lesser Poland (steel, coal and power, heavy engineering), the chemical cluster around Tarnów, Puławy, Police and Kędzierzyn-Koźle, the copper industry in Lower Silesia, and the aerospace cluster around Rzeszów and Mielec.
Baltic coast. Gdańsk and Gdynia have large shipbuilding and ship repair yards, and Szczecin has its own maritime industry. These yards have built offshore substation topsides for Polish offshore wind and work for European offshore and naval clients. The Gdańsk refinery, now part of Orlen, runs turnarounds and in-service inspection. The LNG terminal at Świnoujście and the Baltic Pipe gas link to Norway are major energy assets on the coast. Offshore wind is moving fast: Baltic Power, built by Orlen with Northland Power, and Baltica 2, built by PGE with Ørsted, are the first large farms in the Polish Baltic, and further projects follow. Foundations, towers, substations and port works all need weld inspection during construction and periodic inspection afterwards.
Mazovia. Orlen's Płock complex is Poland's largest refinery and petrochemical site, and its turnarounds are among the biggest NDT jobs in the country: many crews, many methods and tight windows.
Silesia and Lesser Poland. The south is Poland's heavy-industry heartland. ArcelorMittal Poland operates steelworks in Dąbrowa Górnicza and Kraków, coal-fired and newer gas-fired power plants run boilers and steam piping across the region, and fabricators and engineering firms build pressure equipment, structures and machinery. Large power stations elsewhere, such as Bełchatów, Kozienice and Opole, add boiler, turbine and pipework inspection during outages.
Chemicals, copper and aerospace. Grupa Azoty runs fertiliser and chemical plants in Tarnów, Puławy, Police and Kędzierzyn-Koźle. KGHM operates copper mines and smelters in Lower Silesia. The "Aviation Valley" around Rzeszów and Mielec hosts aircraft and engine component manufacturing for international primes, where NDT is certified under EN 4179 or NAS 410 and audited closely.
Nuclear, in preparation. Poland plans its first nuclear power plant at the Lubiatowo-Kopalino site in Pomerania. That programme is at an early stage, but it is already raising questions about nuclear-grade quality systems, procedure control and personnel records among Polish suppliers.
What Polish clients and regulators expect from NDT companies
Direct answer: Clients expect PN-EN ISO 9712 certificates (and ASNT-based certification on US-code work, EN 4179 or NAS 410 in aerospace), approved procedures, calibrated equipment, method-specific reports in the client's format, and often PCA accreditation. Pressure equipment work runs under the Office of Technical Inspection (UDT), and industrial radiography under the National Atomic Energy Agency (PAA).
Personnel certification. In Poland, NDT personnel are usually certified to PN-EN ISO 9712. UDT-CERT, the certification body of the Office of Technical Inspection, certifies a large share of Polish NDT operators, and the Łukasiewicz Research Network's welding centre in Gliwice (the former Instytut Spawalnictwa) also certifies NDT personnel under PCA accreditation. UDT-CERT is also authorised to approve NDT personnel for pressure equipment in categories III and IV under the Pressure Equipment Directive. Technicians who work abroad often add PCN certificates or employer certification under SNT-TC-1A for US-code projects.
Technical inspection. The Office of Technical Inspection (Urząd Dozoru Technicznego, UDT) supervises pressure equipment, lifting equipment and other technical devices in use, and the Transportation Technical Inspection (TDT) covers transport-related equipment. NDT companies often perform testing that supports those inspections and fabricators' acceptance tests, so UDT inspectors and clients will look closely at certificates, procedures and calibration records.
Accreditation and audits. The Polish Centre for Accreditation (PCA) accredits laboratories and inspection bodies to ISO/IEC 17025 and ISO/IEC 17020. Shipyards and offshore clients add classification-society approvals and their own supplier audits. The ERP does not grant any of these, but it holds the evidence they check: competence, calibration, procedure control and report review.
US codes. Polish fabricators building to ASME or AWS for US-owned clients often need ASNT-based certification under a written practice. That is Atlantis's home ground; see employer certification programmes and Level III consulting.
What the Atlantis ERP does for NDT companies in Poland
Direct answer: The Atlantis ERP covers technician certificates and vision tests, instrument calibration and issue, crew dispatch, offline method-specific reports including marine reports for class, procedure control, quotations, timesheets and invoicing. The table maps typical Polish needs to built-in features; anything not listed is configured during implementation.
| Need in Poland | How the Atlantis ERP handles it |
|---|---|
| Show a shipyard or UDT inspector that every technician is certified | Certificate records per scheme (ISO 9712, PCN, SNT-TC-1A, CP-189, CSWIP, other), level, method, certifying body (UDT-CERT, Łukasiewicz or others), dates and attachments; status computed as active, expiring soon, expired or revoked. |
| Staff working abroad on other schemes | Several certificate records per technician, each with its own expiry, so a PCN certificate for a UK job and an ISO 9712 certificate for Polish work are both tracked. |
| Class-society reports for ship and offshore work | Marine mode: vessel cover page and photo, inspection location and dates, and a PDF that merges the classification-society certificate (from a library covering DNV, ABS, Lloyd's Register, BV, RINA, IRS and ClassNK), the inspector's Level II certificate and the calibration certificate; photos in a 2-up grid. |
| Weld inspection on fabrication and wind structures | UT, PAUT, TOFD, MT, PT and VT reports with weld and job lines, defect type and orientation, WPS and drawing references, and inspector, reviewer and approver signatures. |
| Calibration control across yards and sites | Calibration records and a calibration certificate register with lab accreditation number and expiry status; warning when assigned equipment is out of calibration. |
| Crews split between Płock, Gdańsk and abroad | Team assignments with planned, dispatched, in-field, submitted and closed stages; availability calendar; double-booking of technicians and instrument serial numbers blocked. |
| Per diems and travel on long jobs | Expenses for field costs and per diems re-billed to jobs; timesheets with travel and standby work types and rate multipliers. |
| Quote to invoice | Quotations with job type, site, dates and codes, online acceptance and conversion to a sales order; invoices with job/PO number, site and subtotals for labour, equipment and consumables. |

Certificate tracking: PN-EN ISO 9712, PCN and ASNT for one workforce
Direct answer: Each certificate is a separate record with its scheme, level, method, certifying body and dates. A technician can carry a UDT-CERT ISO 9712 certificate in UT, a PCN certificate for UK work and an SNT-TC-1A employer certification for a US-code job, each with its own alerts. Vision tests have their own records and expiry.
Polish NDT companies often manage a more varied certificate mix than companies in other countries, because their technicians follow work across Europe. The certificate record covers scheme, level (trainee, I, II or III), method, certifying body, industry sector, issue, expiry and renewal dates, OJT and training hours, exam result and attachments such as the scanned certificate. Certificate templates per scheme set the validity in months, whether a vision test or exam is required, and the minimum OJT and training hours, so records follow the rules of each scheme.
Vision tests record near vision (Jaeger J1/J2), far vision, colour perception, contrast, examiner, clinic, certificate file and expiry. The employee's NDT profile shows highest level, methods certified, radiation safety training, dose badge number and medical fitness expiry. Daily checks create warning tasks 90 days before a certificate or vision test expires, configurable daily emails go to the people you choose, and Expiring Soon and Expired menus give the quality manager a list on demand. Timesheets warn if a technician books time while their certificate is not valid, which is the last line of defence when a certificate lapses mid-job.
Company-level certificates such as accreditations, class approvals and ISO certification are recorded as company certifications with alert days. Atlantis training is ASNT SNT-TC-1A based only; we do not train toward PN-EN ISO 9712 certificates, but the ERP records them in full.
Radiography, data protection and KSeF invoicing in Poland
Direct answer: Industrial radiography in Poland requires authorisation from the President of the National Atomic Energy Agency (PAA). Personal data in technician records falls under GDPR, supervised by UODO. Poland's national e-invoicing system, KSeF, became mandatory for VAT-registered businesses during 2026, so invoicing setup must account for it; the specific KSeF connection is discussed during scoping and configured during implementation.
Radiography companies need tight control over sources, equipment, vehicles and people. The ERP tracks source-related equipment by serial number with issue, return and movement records; employee profiles hold radiation safety training and dose badge numbers; and fleet records show whether a vehicle may carry radioactive sources, the transport licence number and expiry, and its assignment to a project and driver with dates and mileage. Your PAA authorisation and radiation protection documents can be stored as company certifications with renewal alerts.
KSeF matters to every Polish NDT company that invoices domestically: it became mandatory from February 2026 for the largest taxpayers and from April 2026 for other VAT-registered businesses, with transition arrangements for the smallest firms. The Atlantis ERP's invoicing has a custom layout, taxes configured per country, payment reminders and an open REST API. How invoices reach KSeF for your company, whether directly or through your existing accounting system, is agreed during scoping and built during implementation. We do not claim a certified KSeF connector on this page; ask for the specifics in your demo.
Hosting location, role-based access to medical and dose data, and retention periods are discussed during scoping so they match GDPR and your clients' supplier rules. A Polish-language interface for technicians and office staff is also discussed during scoping, and client-facing report and invoice templates can be laid out in Polish, English or both.
Shipyards, turnarounds and offshore wind: crews, kit and offline reports
Direct answer: The ERP shows who is free and certified, blocks double-booking of technicians and instruments, warns on out-of-calibration kit at assignment, tracks every instrument's issue and condition, and lets technicians report offline in a hull block, a refinery unit or on a vessel and sync later.
Shipyard work is continuous and document-heavy; turnarounds are short and crowded; offshore wind construction is seasonal and depends on weather windows. All three punish poor planning. The availability calendar holds assigned, leave, training, sick and unavailable days with overlaps blocked, and each technician shows status, current assignment, utilisation and next available date. Team assignments carry site GPS coordinates and mobilisation and demobilisation dates, in calendar, kanban and list views.
Instruments are tracked by serial number with equipment type, assigned person, condition, asset tag, firmware, accessories, lifecycle stage and calibration status. Issue and return run through supervisor and manager approval with condition recorded both ways, reservations prevent clashes, and movement records show where each item went. Calibration records hold provider, certificate number, standard, range, uncertainty, accredited-lab flag, result and next due date. Consumables such as couplant, penetrant, developer, magnetic ink and PPE carry reorder levels and a low-stock flag. Purchase orders can be tied to a specific equipment serial, and vendors flagged as OEM, dealer or calibration lab with accreditation details.
On site, the installable offline app handles method selection, readings, photos, on-screen signature and PDF preview without a connection, and syncs later. The ERP supports 17 report types, from UT, RT, MT, PT and VT to PAUT, TOFD, ECT, IRIS, MFL, PMI, hardness, ferrite, holiday/coating, PWHT and computed radiography, each with its own numbering. For report design in more depth see Digital Twin Reporting Software, and for shipyard and class work see marine and offshore NDT.
Implementation for a Polish inspection company
Direct answer: Implementation is remote and typically takes 2 to 4 weeks from kickoff. It depends mainly on how clean your records are: certificates in several schemes, instrument and calibration lists, procedures, clients and report templates, plus the invoicing and KSeF arrangements agreed at scoping.
Scoping settles the apps, schemes, client report formats, invoicing route, language and data questions. You then send what you have: certificate spreadsheets, instrument registers, procedure index, client lists and sample reports. Atlantis configures certificate templates per scheme, alert rules, report templates with your branding, marine report settings if you work for class, quotation and invoice layouts, taxes and payment terms, and user roles. Training is short and role-based, and the first live jobs run with support on hand.
The slowest part is usually certificate data for staff who have worked abroad: certificates from several bodies, in several languages, with dates in different formats. Sorting that out once is worth it, because every alert depends on it. Groups with several entities or integrations agree a longer plan at scoping. See the implementation timeline for a fuller plan.
Integrations: accounting, KSeF route and client systems
Direct answer: The Atlantis ERP has an open REST API and integrates with SAP, Maximo, NetSuite, QuickBooks or any system that accepts API connections. Each integration, including the route your invoices take to KSeF, is scoped per implementation.
Many Polish companies already run local accounting software and want to keep it; approved invoices or timesheet totals can be sent across. Large refinery, chemical and energy clients often run SAP or Maximo, and receiving work-order numbers automatically or returning report references cuts retyping. The REST API for field devices exposes the jobs assigned to a technician, the equipment issued to them, report submission and sync. See the integration matrix for typical data flows.
Spreadsheets vs generic ERP vs Atlantis ERP in Poland
Direct answer: Spreadsheets cannot keep up with multi-scheme certificates and calibration across many sites. Generic ERP covers accounts but needs custom work for NDT. The Atlantis ERP starts with NDT records built in and is configured to your process.
| Check | Spreadsheets | Generic ERP | Atlantis ERP |
|---|---|---|---|
| ISO 9712, PCN and ASNT per technician | Several files | Generic qualifications | Separate records per scheme with alerts |
| Class-society report packs | Manual PDF assembly | No | Marine mode merges class, Level II and calibration certificates |
| Calibration checked at dispatch | No | Custom build | Warning at assignment |
| Offline reporting in yards and offshore | Paper, retyped | Not included | Installable offline app |
| Per diems re-billed to jobs | Manual | Generic expenses | Expenses linked to jobs |
| Set up by | Your staff | A general integrator | Atlantis, led by an ASNT NDT Level III |

Frequently asked questions
What is the best ERP for an NDT company in Poland?
Choose a system that holds PN-EN ISO 9712, PCN and ASNT certificates per technician, links calibration to dispatch, produces class-society and client report formats, and fits your invoicing route. The Atlantis ERP does this; a demo on your own records is the quickest test.
Can the ERP record UDT-CERT certificates?
Yes. They are recorded under the ISO 9712 scheme with UDT-CERT as the certifying body, with dates, attachments and automatic status. Certificates from the Łukasiewicz institute or any other body are recorded the same way.
Can one technician hold Polish, UK and US-style certificates at once?
Yes. Each certificate is its own record, so ISO 9712, PCN and SNT-TC-1A certifications sit side by side with separate expiry and alerts.
Does it produce reports for classification societies?
Yes. Marine mode builds a PDF with a vessel cover page and merges the class certificate, the inspector's Level II certificate and the calibration certificate.
Does it support KSeF?
Invoicing, taxes and payment terms are configured during implementation, and the route your invoices take to KSeF, directly or through your accounting system, is agreed during scoping. Ask for the specifics in your demo.
Is there a Polish-language interface?
Interface language is discussed during scoping. Report and invoice templates can be in Polish, English or both.
Can technicians report offline in a shipyard or offshore?
Yes. The installable app stores drafts and photos on the device and syncs when a connection returns.
Does it track radiography sources and vehicles?
Yes. Source-related equipment is tracked by serial number with movements, and fleet records show which vehicles may carry radioactive sources, with transport licence numbers and expiry.
Where is our data hosted?
Hosting, access and retention are discussed during scoping to match GDPR and your clients' requirements.
How long does implementation take?
Typically 2 to 4 weeks from kickoff, remotely, depending on how clean your existing records are.
Does it connect to SAP or Maximo?
Yes, through the open REST API, scoped per implementation.
How much does it cost?
Quote on request, based on apps, users and integrations. Affordable. Accessible. Fully customizable.

Built for any business that runs on operations
Most companies do not fail at their craft. They lose time, margin and goodwill in the gaps between the tools they use to run the place — a quoting spreadsheet that does not talk to the job sheet, a job sheet that does not reach accounts, and a compliance folder nobody can search when a client asks. Atlantis closes those gaps by putting the whole operation on one platform, so information is entered once and everything downstream stays in step.
What you can run on it
- Sales and CRM — leads, quotes, follow-ups and the pipeline that tells you what next month looks like.
- Projects and job costing — plan the work, track the hours and materials against it, and see the margin while the job is still live rather than at final account.
- Field and service teams — dispatch, schedules, mobile capture that works with no signal, and sign-off from site.
- Inventory and purchasing — stock, suppliers, reorder points and goods receipt, joined to the jobs that consume them.
- People — records, qualifications and licences with renewal reminders, timesheets, leave and payroll.
- Quality and documents — procedures and forms under revision control, with the audit trail an inspection or accreditation body actually asks for.
- Accounts — invoicing, expenses, multi-currency and the reporting your accountant stops chasing you for.
Affordable, accessible, fully customizable — and we mean each word
Affordable because the whole suite is included rather than sold to you a module at a time, and because implementation is done by people who have run operations rather than by a chain of subcontractors. Accessible because it runs in a browser and on a phone, works for a small team on day one, and does not need a specialist on staff to keep it alive. Fully customizable because your process is the thing that makes you competitive — the software should bend to it, not the other way round.
Industries we configure for
Service businesses and contractors, manufacturing and fabrication, trading and distribution, laboratories and testing houses, engineering consultancies, construction and facilities, and asset owners across energy, marine, aerospace and infrastructure. Inspection and testing is where we started, and it remains the sector we go deepest in — but the platform underneath is general-purpose, and most of what it does has nothing to do with inspection at all.
What happens when you get in touch
A short conversation, not a sales sequence. We ask how the business runs today and where it hurts, show you the platform doing that work, and send a written quote shaped to your region, your team size and the scope you actually need. No obligation, nothing to install first, and no pressure to decide on the call. Reach out and tell us what you are trying to fix.
