Trainer: a jet-fuel refinery owned by the airline that burns its output
Monroe Energy, a Delta Air Lines subsidiary, has owned the Trainer refinery on the Delaware River for more than a decade — an ownership structure most refinery towns in this corridor don't have. The plant's core purpose is securing jet-fuel supply for its parent airline's flights rather than maximizing open-market fuel-trading margin, which changes what "good performance" means to the client, and jet fuel makes up an unusually large share of the refinery's output mix compared with a typical merchant refiner along the same river.
A fire in a process-unit pump room during this year's restart of the fluid catalytic cracker, following a planned outage, drew an employee-safety response and a shelter-in-place order — handled in a way that reads more like an airline's operational-safety culture than a typical merchant refiner's. Post-incident re-verification work, confirming equipment integrity before a unit restarts after any unplanned event, is a recurring category here rather than an occasional one, and it tends to move on a faster clock than a routine turnaround because every day the cracker is down is a day the parent airline is buying jet fuel on the open market instead.
For an inspection company, Trainer's client contact is likely to weigh safety-incident history and corrective-action documentation more heavily than a purely margin-driven refiner would. Delta's own safety-reporting expectations tend to flow down through Monroe Energy's contractor requirements, and a company that can speak both refinery-code language and aviation-grade incident documentation has a genuine edge bidding this account over one that only knows API and ASME.
Trainer is worth watching as a signal for the rest of the corridor, too. As more industrial and transportation companies buy refining or terminal assets to secure their own supply chains rather than to trade product, the client relationship inspection companies deal with shifts from a pure commodity-margin mindset to an operational-safety-and-supply-security mindset — and the documentation standards that come with that shift tend to be stricter, not looser, than a typical merchant operator's.
Trainer is a small Delaware County borough built around a single plant: the Trainer refinery, bought from Phillips 66 in April 2012 for $180 million by Monroe Energy, a wholly owned Delta Air Lines subsidiary. An NDT ERP serving this market has to carry the evidence those operators audit against — OSHA PSM 29 CFR 1910.
It processes roughly 185,000 b/d of crude and is configured to maximise jet fuel, yielding about 52,000 b/d for Delta's East Coast operation. It remains the only US refinery owned by an airline, so unit availability and turnaround scope land directly on an airline's fuel cost line. Crude arrives by ship, barge and rail on the Delaware; Energy Transfer's Marcus Hook NGL complex adjoins the borough immediately downriver. Operators including Monroe Energy Trainer Refinery (Delta Air Lines subsidiary), Energy Transfer Marcus Hook Industrial Complex (adjacent, downriver), Braskem America Marcus Hook polypropylene plant set the pre-qualification bar their contractors inherit. The system of record for that evidence is the ERP, not a spreadsheet a technician maintains between jobs.

| Factor | What applies | Why it matters |
|---|---|---|
| Sectors served | Refining, Pipeline, Maritime | Sets which methods, report formats and codes the system must handle |
| Codes audited against | OSHA PSM 29 CFR 1910.119, API 510 / 570 / 653, ASME BPVC Section V and Section VIII, NBIC NB-23, ASNT SNT-TC-1A | Each demands retrievable evidence, not a claim of compliance |
| What must be retrievable on demand | Technician certification currency · equipment calibration status · the report against the asset that generated it | These three are what an auditor asks for first |
| Deployment | Cloud or on-premise · configured to the codes above · offline field capture | Field crews lose connectivity; the record cannot depend on it |
What must an NDT ERP track for inspection firms in Trainer?
Evidence against OSHA PSM 29 CFR 1910.119, API 510 / 570 / 653, ASME BPVC Section V and Section VIII, NBIC NB-23, ASNT SNT-TC-1A. That means each technician's certification currency by method and level, each instrument's calibration status on the day it was used, and every inspection report bound to the asset and the job that produced it. An auditor asks for those three before anything else.
Can an inspection company in Trainer run this alongside its existing accounting?
Yes. The ERP owns operations — jobs, technicians, equipment, reports — and pushes finished invoices to the accounting system, which keeps the chart of accounts, tax and reconciliation. For US firms that usually means QuickBooks; the split is documented in the QuickBooks integration guide rather than forcing a migration nobody asked for.
Does it work offline for field crews in Trainer?
Yes. Field capture runs offline and syncs when the device reconnects, because turnaround decks, tank interiors and remote sites have no usable signal and a record that depends on connectivity is a record that gets rewritten from memory hours later. Offline capture is the difference between a contemporaneous record and a reconstruction.
How long does implementation take for a firm in Trainer?
The configuration follows the codes and workflows above rather than a fixed template, so the timeline is set by how much existing data has to be migrated and cleaned — certification records and calibration history are the two that consume the time. Firms usually run the first job cycle in parallel before cutting over.
What happens to inspection records if a technician leaves?
They stay with the asset and the job, which is the point. Employer-based certification ends when the holder leaves, but the reports they signed remain part of the asset's inspection history and are still auditable. A system that stores records per technician rather than per asset loses that history on every departure.

Affordable NDT ERP in Trainer: running a lower Delaware River inspection business on one system
An affordable NDT ERP in Trainer has to fit how inspection companies in this corner of the Delaware Valley actually work. Crews cross between Pennsylvania, Delaware and New Jersey in a single week, jobs switch between refinery, marine and power work, and clients expect signed reports before the crew has left the gate. The Atlantis ERP solution puts certifications, calibration, scheduling, reports, quotes and invoices on one platform, configured for NDT companies. Affordable, accessible, fully customizable, quote on request.
Trainer sits right on the Pennsylvania and Delaware line, which is exactly what makes it a useful base. Inside a short drive you have the Trainer refinery, the Marcus Hook industrial complex, the Delaware City refinery to the south, marine and shipbuilding work up the river at the Philadelphia Navy Yard, and industrial boilers, waste-to-energy and utility plants along the Chester waterfront. Upriver, the former Philadelphia Energy Solutions refinery at Girard Point shut after the June 2019 fire and explosion and is being redeveloped as the Bellwether District, a logistics and life-sciences site. That closure moved a large block of refinery inspection work out of the region for good. The contractors left in the corridor get by on range and responsiveness, not on one big client.
Range brings paperwork. Each client has its own format, codes and gate rules. Each state has its own boiler and pressure vessel regulations. Each ship owner's class society has its own certificate. Small NDT companies that run all of this on spreadsheets end up with the owner doing admin at midnight. This section explains how the Atlantis ERP handles that work, using only the features the software actually has.
Why a small Trainer NDT company needs an affordable ERP rather than an enterprise system
Most inspection companies in the lower Delaware Valley run somewhere between a handful and a few dozen technicians. They need NDT-specific records, not a big enterprise suite and a consulting bill. The Atlantis ERP comes set up for NDT work from the start, so the money goes on configuring your process rather than building basic inspection features from scratch.
A generic ERP knows about customers, products and invoices. It doesn't know that a technician's MT Level II certificate is tied to a vision test that expires on a different date, that a UT flaw detector needs a current calibration certificate from an accredited lab before it goes to a refinery, or that an RT report has to record source, technique and IQI placement. Adding those to a generic system is where implementation budgets go wrong. In the Atlantis ERP they are standard: certificates with scheme, level, method and expiry; equipment by serial number with calibration records; 17 method-specific report types; team assignments that block double-booking.
Affordable also means you don't pay for things you won't use this year. A three-person company can start with certificates, equipment and reports, then add quotations, invoicing and CRM as it grows. Every app runs in a browser and on a phone, so nobody has to maintain a server in the office. And because Atlantis NDT sets up and supports the system directly, the people you talk to understand written practices and technique sheets. If you're weighing this against a spreadsheet-plus-QuickBooks setup, ask for a short demo built around your own jobs.
Technician certification tracking software for a three-state crew
Certification tracking software has to show, per technician, what they're qualified to do today and what lapses next. The Atlantis ERP records every certification with scheme, level, method, certifying body, issue, expiry and renewal dates, industry sector, OJT hours, training hours and exam results, and works out active, expiring soon, expired or revoked status automatically.
Refinery and petrochemical clients along the river generally expect ASNT SNT-TC-1A or CP-189-based employer certification. Marine clients may also ask to see a technician's certificate as part of a class-society survey file. Some crews carry ISO 9712, PCN or CSWIP certificates from work abroad. The ERP holds all of those side by side, each with its own expiry, and certificate templates per scheme set the validity in months, whether a vision test or exam is required, and the minimum OJT and training hours, so new entries follow the right rules.
Vision test records cover near vision to Jaeger J1 or J2, far vision, colour perception, contrast, examiner, clinic and certificate file. Examination sheets hold general, specific and practical scores against a passing score (70% by default) with the exam papers attached. Warning tasks are created 90 days before any certificate or vision test expires, and daily email alerts can be sent to named people with look-ahead days and a resend interval you choose.
The employee NDT profile also carries radiation safety training, radiation badge number and medical fitness expiry, which radiography crews working in refineries always get asked for. Timesheets flag any technician logging hours while their certificate is not valid. More on the certificates app.
Marine mode for Delaware River shipyard and vessel work
Marine NDT has its own reporting rules, and the Atlantis ERP has a marine mode for them. A marine report gets a vessel cover page with a photo, inspection location and dates, and the PDF automatically merges in the classification-society certificate, the inspector's Level II certificate and the calibration certificate of the instrument used.
The Philadelphia shipyard at the old Navy Yard, now owned by Hanwha, and the barge, tug and tanker traffic along the river bring steady hull, weld and machinery inspection work to the region. Owners and surveyors want one package that shows the vessel, the findings, the qualifications and the calibration in one document. Putting that together by hand means pulling three PDFs from three folders and merging them before the surveyor leaves. In marine mode the ERP does it when the report is generated.
The class society library covers DNV, ABS, Lloyd's Register, BV, RINA, IRS and ClassNK. Inspection photos go into a two-up grid instead of being pasted one per page, which keeps a thickness gauging report on a hull section readable. UT thickness readings are recorded by direction, and the report still goes through review and approval, with the attending surveyor's or authorised inspector's name and signature recorded where the job needs one.
The same technician, instrument and calibration records sit behind marine and refinery work, so a technician who was on a hull survey on Monday and a Marcus Hook piping circuit on Wednesday has one certification record, not two. See the NDT reports app for the marine fields.
Calibration management software that follows each instrument across state lines
Calibration management software should tell you the status and location of every instrument at any moment. The Atlantis ERP tracks every NDT instrument, probe and source-related item by serial number with its calibration frequency and status, and warns the scheduler if an out-of-calibration item is assigned to a job.
Calibration records hold the provider, certificate number, standard, range, uncertainty, accredited-lab flag, result and next due date. The calibration certificate register adds the lab's accreditation number, the PDF and an expiry alert. Purchase records can mark vendors as OEM, dealer or calibration lab, with the lab's accreditation number and expiry stored, and a purchase line can be linked to the exact equipment serial it relates to, so a recalibration bill ties back to the right instrument.
Equipment moves through issue and return with supervisor and manager approval, and condition is recorded both ways. Reservations stop two crews claiming the same PAUT set, and inbound and outbound movements are logged, which helps when a probe travels from the yard to Delaware City and back through two technicians' hands. Each item carries a lifecycle state (new, active, in calibration, in repair, rented out, retired or disposed), and rental rates can be recorded for equipment you hire out. The maintenance log covers preventive, corrective, repair, cleaning, firmware updates and probe replacement.
Consumables such as penetrant, developer, particle bath, couplant and PPE are tracked with reorder levels and a low-stock flag. The asset management app has the full detail.
Crew dispatch and scheduling software when a unit restart pulls people off planned work
Scheduling software for NDT crews has to handle the day a planned week falls apart. In the Atlantis ERP each job is a team assignment moving through planned, dispatched, in field, submitted and closed, and the system blocks any technician or equipment serial number from being booked on two jobs at once.
Refinery unit restarts and post-event checks don't wait for a turnaround calendar, and in this corridor they can pull crews off marine or utility work at short notice. The availability calendar shows who is assigned, on leave, in training, sick or unavailable, blocks overlaps, and takes leave directly from time off requests. Technician status, current assignment, utilisation percentage and next available date show in calendar, kanban or list view, so a coordinator can see in one screen who is free on Thursday with a current UT Level II and a calibrated gauge.
Assignments hold site GPS coordinates and mobilisation and demobilisation dates. Projects carry safety induction and work permit fields, so the coordinator knows whether a technician already has site orientation for the refinery before sending them. Vehicles are handled in the Fleet app, which records whether a vehicle can carry radioactive sources, its transport licence number and expiry, and which project and driver it is assigned to, with dates and mileage. For radiography crews that is the other half of dispatch: the right person, the right source, the right vehicle, all current. See the team assignments and fleet apps.
NDT reporting software that produces a signed report before the crew leaves
NDT reporting software should close the gap between the field and the client's inbox. The Atlantis ERP offers 17 report types, including UT, RT, MT, PT, VT, PAUT, TOFD, MFL, IRIS, ECT, PMI, hardness, PWHT, ferrite, UT thickness, holiday/coating and computed radiography, each with its own numbering and a draft, review, approved and sent workflow.
Reports carry method-specific data: a probe calibration table for UT, source, technique and IQI details for RT, particle type for MT, developer for PT, focal laws for PAUT, scan mode for MFL. Weld and job lines record defect type and orientation, and the overall result is acceptable, not acceptable or acceptable with remarks. References to the work order, WPS, contract, drawing numbers, procedure and standard are captured on every report, so a client's inspection coordinator can match it to the right line or vessel straight away.
Technicians use the offline field app, an installable web app that works without signal, stores drafts and photos on the device, captures signatures on screen and previews the PDF, then syncs when it's back online. Templates are versioned and carry your logo, header and footer in Excel, Word, PDF or HTML, and a client-specific Excel form can be filled automatically by mapping fields to cells. Inspector, reviewer and approver all sign, and a third-party inspector's name and signature can be added where the job needs one.
Reporting is also sold on its own as Digital Twin Reporting Software. If a client wants findings shown on a 3D model with thickness trends, Atlantis Digital Twins does that.
Procedures and corrective actions for clients who read incident reports closely
Refinery owners in this corridor pay close attention to contractor procedures and corrective actions after any incident. The Atlantis ERP keeps every NDT procedure under revision control, with approved revisions locked and a snapshot of each revision stored, so you can show exactly which version a crew worked to on any date.
Each procedure records document number, revision, method, scope, material, applicable standard such as ASME Section V, acceptance criteria and body text or an attached file. It moves through draft, submitted, reviewed, approved and published, and can also be rejected (with a reason) or archived. Prepared-by, reviewed-by and approved-by names and dates are recorded. Email notifications and reminders keep approvals moving. For a new client specification, an AI-assisted first draft can speed up the writing, with a built-in template as fallback, and a Level III still reviews and approves the result.
Non-conformances and corrective actions can be handled as an NCR/CAPA workflow configured during implementation, tied to the job, the report and the people involved. When a client's contractor safety group asks what changed after a finding, you can show the NCR, the corrective action, the revised procedure and the date it was published. Surveys can be used for technician competency questionnaires and client feedback after each job. The procedures app covers the details.
Quoting, timesheets and invoicing across Pennsylvania, Delaware and New Jersey
Quoting and invoicing software for a cross-border crew has to handle different clients, sites and tax rules without separate spreadsheets. In the Atlantis ERP a quotation holds job type, site, project dates and applicable codes, is accepted and signed online, and turns into a sales order and then a project with the client PO, contract, methods, scope and acceptance criteria attached.
Service products are flagged by NDT method and category, a global discount can be applied, and the quotation PDF carries your branding. Once the job runs, timesheets record inspection, travel, standby and setup hours by method, site, client and equipment serial, each with a billable flag and rate multiplier, and go through approval before feeding billing. That matters on refinery work, where standby time at the gate is common and tends to go unbilled when it lives on paper.
Invoices carry the NDT project, job or PO number, site, invoice type and industry sector, with labour, equipment and consumables shown as separate subtotals. Lines can show cost centre, method, equipment serial, technician, rate type and days or hours. Field expenses and per diems come through the Expenses app and can be re-billed to the job. Tax rules for each state you invoice in are configured during implementation. The financial dashboard shows revenue, cost of sales, gross margin, operating expenses, EBITDA, outstanding invoices, bills and expenses across 12 months. See the quotations and invoicing apps.
Spreadsheets vs generic ERP vs Atlantis ERP for a Delaware Valley NDT contractor
For a small or mid-size inspection contractor, the real choice is usually between spreadsheets, a generic business system, or an NDT ERP. Here is how they compare on the work a Trainer-based company does every week.
| Need | Spreadsheets | Generic ERP | Atlantis ERP |
|---|---|---|---|
| Certification status and 90-day warnings | Manual checking | Not modelled for NDT | Automatic status, warning tasks and email alerts |
| Marine report with class certificate merged | Manual PDF merging | Not available | Marine mode merges class, Level II and calibration certificates |
| Source-capable vehicle and transport licence | Separate log | Generic fleet | Fleet records source capability and licence expiry |
| Instrument double-booking | Whiteboard | Partial | Blocked, with out-of-calibration warning |
| Offline field reports | Paper, retyped | Rare | Offline app with sync and signatures |
| Standby and travel billing | Often missed | Needs customisation | Work type, billable flag and rate multiplier on timesheets |
| Cost | Hidden admin hours | Licences plus consulting | Affordable, quote on request |
CRM, integrations and getting started
The Atlantis ERP has an open REST API and integrates with SAP, Maximo, NetSuite, QuickBooks or any system that accepts API connections. What gets connected is agreed during implementation. Most small Delaware Valley companies keep QuickBooks and let the ERP send invoices to it.
The CRM tracks service line, lead source, NDT service type, industry sector, site country and estimated technicians and days, and gives each lead a score from 0 to 100. That's useful when you're chasing refinery, marine and utility work at the same time and need to see which bids are worth the effort. Business cards picked up at a contractor safety meeting or a shipyard supplier day can be photographed and turned into leads in one click. Leads can be imported from CSV and put into drip email sequences by service line, with AI-written campaign emails available through an AI model that can run on your own server. Dashboards show calibrations due and overdue, certificates expiring and equipment overdue for return. See the CRM and dashboards apps.
Implementation usually starts with certificates and equipment, then team assignments and field reports for one crew, then quotations and invoicing. Atlantis NDT does the setup and support, led by founder Anoop Rayavarapu, an ASNT NDT Level III. Ask for a written scope and quote for your Trainer operation.
Frequently asked questions
Is the Atlantis ERP affordable for a small NDT company in Trainer?
Yes. It comes configured for NDT work, you can start with just the apps you need, and it runs in a browser with no office server. Pricing is quote on request, based on your team and scope.
Can it produce marine inspection reports for class surveys?
Yes. Marine mode adds a vessel cover page and photo and merges the class society certificate (DNV, ABS, Lloyd's Register, BV, RINA, IRS or ClassNK), the inspector's Level II certificate and the calibration certificate into the PDF.
How does it handle invoicing in more than one state?
Tax rules for each state you work in are configured during implementation. Invoices carry project, PO, site and industry sector, with labour, equipment and consumables shown separately.
Does it track radiography vehicles and radiation badges?
Yes. The Fleet app records whether a vehicle can carry radioactive sources and its transport licence expiry. The employee NDT profile holds radiation safety training and radiation badge number.
Can technicians complete reports with no signal?
Yes. The installable offline app stores drafts and photos on the device and syncs later, with on-screen signatures and a PDF preview.
Does Atlantis train technicians too?
Atlantis offers ASNT SNT-TC-1A-based NDT training. The ERP records certificates from other schemes such as ISO 9712, PCN or CSWIP, but training is SNT-TC-1A-based only.
