Email Marketing for NDT Companies: Campaigns to Clients and Learners
Newsletters and campaigns to clients and prospects. Request a demo. Affordable. Accessible. Fully customizable. Quote on request.
Why email still wins work in NDT
NDT buyers are not scrolling social media looking for an inspection company. Maintenance planners, inspection engineers, QA/QC managers and fabrication shop owners do most of their business by email. Scopes arrive by email. Quotes go out by email. Reports go back by email. When a planner needs a crew for next month, they search their inbox for the last company that was helpful.
That is why a regular, useful email to clients and prospects is one of the best-value things an NDT company can do. It keeps your name in the inbox where decisions happen. It reminds past clients what else you do: the plant that only buys UT from you may not know you also run MT and PT, offer procedure writing or train technicians. It gives prospects a reason to remember you when a shutdown scope finally lands.
For most NDT companies the problem is not the idea, it is the tooling. Sending a newsletter from a desktop mail client with a long list in BCC is how emails end up in spam, and how people who asked to be removed keep getting them. Standalone mailing tools fix that, but then the list lives outside your CRM and goes out of date the day you export it.
The Email Marketing app in the Atlantis NDT ERP is Atlantis ERP's standard email marketing app, set up for an NDT company. It sends campaigns to the same contacts and leads your sales team works with every day, handles opt-outs properly and shows who opened and clicked. If you want to see it with your own lists, book an Email Marketing demo.
Mailing lists that reflect your market
Mailing lists are the foundation. In Atlantis ERP you can keep as many lists as you need, and a contact can belong to several. For an NDT company, lists usually follow the way you sell:
- Inspection clients and prospects, often split by sector: refining and petrochemical, power, fabrication, marine, aerospace.
- Training: past learners, current enquirers and the employers who sponsor them.
- Consulting: QA/QC managers and engineering leads interested in procedures, Level III services and audits.
- Trade show contacts: people you met at a specific event, ready for the follow-up.
- Partners and subcontractors: other NDT companies you work with, for updates that concern them.
People get onto lists through several routes: imported from a CSV file, added from Contacts or the CRM, subscribed through a form on your website, or added with one click from the Business Cards app after you photograph their card at an event.
Subscribers can manage their subscriptions and opt out of a list. That keeps your lists honest: the people on them are the people who want to hear from you.
A practical tip: start with fewer, larger lists and use filters for fine targeting, rather than dozens of tiny lists nobody maintains. You can always split a list later when you see a real need, such as a new sector you have started to serve or a training programme with its own audience.
Building a campaign: editor, templates and test sends
Atlantis ERP Email Marketing has a drag-and-drop editor with building blocks for text, images, buttons and columns. You do not need to know HTML to produce a clean, readable email that works on a phone.
For an NDT company, a small set of saved templates covers most needs:
- Newsletter: your logo, a short technical note, a capability or service update, upcoming training dates and a clear link to request a quote.
- Single-service promotion: one service, one audience, one call to action.
- Training intake notice: course, level, method, dates and how to enrol.
- Event invitation and follow-up: before and after a trade show.
- Announcement: a new method, a new region covered, a new accreditation for your company.
Before sending, send a test to yourself and one colleague. Read it on a phone, because many site engineers read email on mobile between jobs. Click every link. Check that the subject line would make sense to someone who has never heard of you.
Keep technical content honest. If an email mentions a code, a technique or acceptance criteria, have your Level III read it first. Your readers are engineers, and one wrong statement costs more credibility than ten good emails earn.
If writing is the bottleneck, the AI Marketing app drafts newsletters, promotions, nurture emails and announcements from a short brief, using an AI model that can run on your own server. You edit the draft and use it in your campaign, so the writing takes minutes rather than an afternoon.
Targeting from your CRM and contacts
Because Email Marketing lives in the same database as your CRM and Contacts, you are not limited to mailing lists. A mailing can be aimed at contacts or CRM leads directly, filtered on the fields you already keep.
That makes precise campaigns straightforward:
- Leads in the nurture band of the NDT lead score, in the inspection service line, from the fabrication sector.
- Contacts tagged as past Level I learners who might be ready for Level II.
- Leads whose site country is in a region you have just started to cover.
- Contacts tagged as technical approvers at plants, for a technical note about a method.
Targeting well is the single biggest thing you can do to make email work. A message about PAUT weld inspection sent only to fabrication QA managers is far more likely to get replies than the same message sent to everyone, and far less likely to prompt unsubscribes.
It also protects your sender reputation. Mail providers notice when recipients ignore or delete your emails. Relevant, targeted campaigns help keep your email landing in inboxes, including the inbox your next purchase order will come from.
The filter is saved with the mailing, so when you review results later you can see exactly who a campaign was aimed at. Over time that builds a clear picture of which segments of your market respond to which messages, which is useful well beyond email: it tells your sales team where to spend their time.
Testing what works with A/B testing
Atlantis ERP Email Marketing includes A/B testing. You create two or more versions of a mailing, send each to a portion of the audience, and then send the better-performing version to the rest, either chosen by you or picked automatically on a measure such as opens or clicks.
For an NDT company, the most useful things to test are simple:
- Subject lines: 'Phased array weld inspection for fabrication shops' against 'Need weld inspection results before your client's audit?'
- Call to action: 'Request a quote' against 'Send us your scope'.
- Length: a short three-paragraph note against a fuller technical explainer.
- Sender: your company name against a named person at your company.
Test one thing at a time, and only when the list is big enough for the result to mean something. On a small list, a difference of a few opens is noise, not a lesson. For smaller companies it is often better to run the same kind of test across several campaigns over a few months and look for a consistent pattern.
The lessons build up. Over time you learn what your audience responds to: whether engineers prefer plain technical subject lines, whether training contacts respond to dates or to career progression, whether a named sender gets more replies. That knowledge makes every future campaign better, including the briefs you give the AI when it drafts for you.
Tracking: opens, clicks, replies and bounces
Every mailing has statistics: how many were sent, delivered, opened, clicked, replied to and bounced. You can drill into each figure to see the individual recipients.
What to do with each number in an NDT context:
- Opens: a rough signal of subject line and sender strength. Treat it as a trend, not an exact figure, because some mail apps block or pre-load tracking images.
- Clicks: far more meaningful. Someone who clicks 'Request a quote' or opens your training dates page is showing real interest. Those names deserve a personal follow-up.
- Replies: the best signal of all. A reply from a planner saying they have an outage coming up is a lead.
- Bounces: addresses that no longer work. People in this industry change employers often; a bounce is a prompt to find out who replaced them.
Links in mailings are tracked, so you can see which content people actually cared about. If your newsletter has three items, a technical note, a service update and a training intake, the clicks tell you which one mattered to your readers.
Then turn activity into action. After each campaign, the business development person should look at who clicked and replied, and create or update CRM leads with a clear next step. That is where email marketing becomes inspection, training and consulting work: not in the open rate, but in the follow-up call a day later.
Opt-outs, blacklist and deliverability
Good email marketing depends on respecting the people who receive it, and on getting your emails into inboxes rather than spam folders.
Unsubscribes and the blacklist
Every mailing includes an unsubscribe link. When someone opts out, Atlantis ERP records it, and blacklisted addresses are excluded from future mass mailings. Nobody on your team has to remember to remove them by hand.
Consent and privacy
Marketing and privacy rules differ by country, and by whether the recipient is a business contact or an individual learner. What consent you need, and how you record it, is a decision for you and your advisers. The ERP gives you list subscriptions, opt-outs and a history on each contact to support the approach you choose; it does not by itself satisfy any particular law.
Sending from your own domain
During implementation, outgoing mail is set up to send from your company's domain with the authentication records mail providers expect, such as SPF and DKIM. That helps your campaigns, and your everyday quotes and reports, reach inboxes.
List hygiene
Remove bounced addresses, avoid bought lists, and do not mail large batches of people who have never heard of you. A smaller list of people who know you will do far more for your business than a large list that marks you as spam.
These basics protect more than your newsletters. Your sales team, report reviewers and accounts staff send from the same domain, and a damaged sender reputation can push quotes, reports and invoices into spam folders too.
Campaign ideas for inspection, training and consulting
Inspection
- A pre-outage note to plant planners, sent while shutdown scopes are still being written.
- A capability note for fabrication shops on MT, PT and UT for weld inspection, with a link to send a scope.
- A short explainer on the information you need to quote accurately.
- An announcement about how you present results. With Digital Twin Reporting Software, Atlantis's companion product to the ERP's NDT Reports app, inspection results are placed on a 3D model of the asset, which gives asset owners a clearer picture of where findings sit.
Training
- Intake notices with levels, methods and dates, sent to past learners and training sponsors.
- A note on how learners practise between sessions. Learners enrolled in the ERP's eLearning portal get access to Practical NDT, Atlantis's immersive, game-like 3D practice platform with UT, PAUT, RT, MT, PT, VT, ET and TOFD scenarios on virtual welds, pipes, vessels and castings.
- A reminder to employers to plan the next round of Level I and Level II training before the busy season.
Consulting
- A short guide to what a procedure or written practice review involves.
- An offer of Level III support for clients writing or updating procedures.
- A note on preparing for a client or third-party audit of an NDT programme.
Each of these works best sent to a targeted list with one clear action: send a scope, request a quote, enrol, or book a call.
Email Marketing and AI Marketing: how they work together
The Atlantis NDT ERP includes two marketing apps, and it helps to be clear about the difference.
Email Marketing is Atlantis ERP's standard mass mailing app: mailing lists, the email editor, A/B testing, scheduling, tracking and opt-out handling. It is where you build and send campaigns to lists and filtered audiences.
AI Marketing drafts campaign emails with AI in four types, newsletter, promotion, nurture and announcement, using an AI model that can run on your own server. It also runs drip sequences by service line, with pause, resume and unsubscribe, and scheduling.
In practice, many NDT companies use both:
- AI Marketing drafts the newsletter from a short brief; someone edits it and uses it in an Email Marketing campaign to your lists.
- Drip sequences in AI Marketing handle ongoing nurture of individual leads from the CRM.
- Email Marketing handles larger one-off sends, A/B tests and detailed tracking.
Both work from the same contacts and leads. Whether you use one or both, and how, is agreed during implementation based on how much marketing your team wants to take on. Some companies start with a simple newsletter and add sequences later once the routine is established.
Who uses Email Marketing
- Marketing coordinator or office manager: builds and schedules campaigns, maintains lists and templates.
- Business development: chooses audiences, follows up clicks and replies, and creates CRM leads from them.
- Owner or managing director: approves key campaigns and reviews results every few months.
- NDT Level III: technical review of anything that mentions methods, codes or acceptance criteria.
- Training coordinator: intake notices and updates to learners and sponsors.
Access rights decide who can create mailings and who can send them. A common setup lets several people draft while one or two people send, so every campaign gets a second read before it reaches a client list.
In a small company one person may do most of this. The value of having email marketing inside the ERP is that this person works from the same records as sales and operations, instead of maintaining a separate list in a separate tool.
How it connects, and what setup looks like
Email Marketing draws on the rest of the ERP:
- Contacts: the shared address book of clients, sites, learners, vendors and partners.
- CRM: leads with service line, sector, service type and lead score for precise targeting; see the CRM app.
- Business Cards: trade show cards added to a mailing list with one click.
- Website: forms that let visitors subscribe or send an enquiry.
- Surveys: client feedback questionnaires you can invite contacts to complete.
Atlantis NDT deploys and configures the ERP for you. For Email Marketing, implementation usually covers outgoing mail on your domain, your first mailing lists and a CSV import of existing subscribers, saved templates in your branding, subscription forms on your website, and a short training session on building, testing and reviewing campaigns. Anything beyond the standard app is part of the customization scope agreed with you. The ERP is affordable, accessible and fully customizable, and pricing is quote on request. See every app on the ERP apps page.
Frequently asked questions
Is this a custom email tool?
No. It is Atlantis ERP's standard Email Marketing app, configured for an NDT company with lists, templates and targeting that suit inspection, training and consulting work.
Can we send to CRM leads as well as mailing lists?
Yes. Because it shares a database with the CRM and Contacts, a mailing can target leads or contacts filtered on fields such as service line, sector or lead score, as well as mailing lists.
How are unsubscribes handled?
Every mailing includes an unsubscribe link. Opt-outs are recorded, and blacklisted addresses are excluded from future mass mailings automatically.
Can we see who opened and clicked?
Yes. Each mailing shows sent, delivered, opened, clicked, replied and bounced figures, and you can drill down to the recipients behind each number.
Will our emails avoid spam folders?
Nobody can promise that, but sending from your own authenticated domain, targeting relevant lists and removing bounced addresses all help. Outgoing mail is set up on your domain during implementation.
Do we need AI Marketing as well?
Not necessarily. Email Marketing works on its own. AI Marketing adds AI drafting and drip sequences by service line, which helps if writing time is your bottleneck.
What does it cost?
Pricing depends on your users, apps and customization scope, so it is by quote on request.

Built for any business that runs on operations
Most companies do not fail at their craft. They lose time, margin and goodwill in the gaps between the tools they use to run the place — a quoting spreadsheet that does not talk to the job sheet, a job sheet that does not reach accounts, and a compliance folder nobody can search when a client asks. Atlantis closes those gaps by putting the whole operation on one platform, so information is entered once and everything downstream stays in step.
What you can run on it
- Sales and CRM — leads, quotes, follow-ups and the pipeline that tells you what next month looks like.
- Projects and job costing — plan the work, track the hours and materials against it, and see the margin while the job is still live rather than at final account.
- Field and service teams — dispatch, schedules, mobile capture that works with no signal, and sign-off from site.
- Inventory and purchasing — stock, suppliers, reorder points and goods receipt, joined to the jobs that consume them.
- People — records, qualifications and licences with renewal reminders, timesheets, leave and payroll.
- Quality and documents — procedures and forms under revision control, with the audit trail an inspection or accreditation body actually asks for.
- Accounts — invoicing, expenses, multi-currency and the reporting your accountant stops chasing you for.
Affordable, accessible, fully customizable — and we mean each word
Affordable because the whole suite is included rather than sold to you a module at a time, and because implementation is done by people who have run operations rather than by a chain of subcontractors. Accessible because it runs in a browser and on a phone, works for a small team on day one, and does not need a specialist on staff to keep it alive. Fully customizable because your process is the thing that makes you competitive — the software should bend to it, not the other way round.
Industries we configure for
Service businesses and contractors, manufacturing and fabrication, trading and distribution, laboratories and testing houses, engineering consultancies, construction and facilities, and asset owners across energy, marine, aerospace and infrastructure. Inspection and testing is where we started, and it remains the sector we go deepest in — but the platform underneath is general-purpose, and most of what it does has nothing to do with inspection at all.
What happens when you get in touch
A short conversation, not a sales sequence. We ask how the business runs today and where it hurts, show you the platform doing that work, and send a written quote shaped to your region, your team size and the scope you actually need. No obligation, nothing to install first, and no pressure to decide on the call. Reach out and tell us what you are trying to fix.
