Equipment control for NDT companies in the Gulf

NDT companies in Saudi Arabia, the UAE, Qatar, Kuwait, Oman and Bahrain run equipment at a scale and pace that exposes every gap in a spreadsheet. A single contractor can have crews in Jubail, Ras Tanura and Yanbu at the same time, another team in Ruwais or Das Island, and a shutdown crew mobilising for Ras Laffan or Mina Al Ahmadi. Equipment travels hundreds of kilometres between yards and camps, changes hands between technicians on different rotations, and has to pass a client's equipment check at the gate before it can be used.

The Asset Management app in Atlantis NDT ERP is a register for all of that equipment: flaw detectors, thickness gauges, phased array and TOFD units, eddy current and tube inspection sets, probes, wedges, scanners, yokes, UV lamps, light meters, calibration blocks, exposure devices, survey meters and dosimeters. It is not plant integrity software and it does not hold the operator's plant equipment or inspection history. It manages the tools your company owns or rents, so you know what you have, where it is, who has it and whether it will pass inspection at the gate. What the app tracks

Every item records equipment type, serial number, asset tag, firmware version, accessories, assigned person, condition and lifecycle stage: new, active, in calibration, in repair, rented out, retired or disposed. Calibration frequency and status sit on the same record. Rental rates can be recorded for kit you hire to other contractors, which is common during the shutdown season.

Client equipment checks: Aramco, ADNOC, QatarEnergy and KNPC work

Working for the major national operators means your equipment is inspected as closely as your people. Saudi Aramco contractors work to Saudi Aramco engineering standards and inspection requirements, go through contractor approval, and routinely have instruments and calibration certificates checked by the client's inspectors before and during a job. ADNOC group companies, QatarEnergy and KNPC have their own approval processes and inspection representatives who ask the same questions: show me the calibration certificate for this serial, show me it is in date, show me the lab.

The app is built to answer those questions at the gate rather than from the office. Open the serial, and the current certificate PDF, the calibration result, the due date and the lab accreditation number are there. The certificate register shows valid, expiring or expired status, and daily email alerts for calibration certificates go to the people you choose, looking ahead as many days as you set and resending at the interval you choose. The aim is simple: no instrument reaches a client site with a certificate that expired last week.

If a client requires a specific equipment list or submittal format for contractor approval or a work package, that report is configured during implementation as part of the agreed customisation scope. The Team Assignments app also warns the planner when assigned equipment is out of calibration, before the crew is sent.

Calibration labs and OEM service in the region

Calibration in the Gulf comes from a mix of sources. Local labs are accredited to ISO/IEC 17025 by bodies such as the Saudi Accreditation Center, ENAS in the UAE and the Dubai Accreditation Center, while many NDT instruments go to manufacturer service centres in Dubai, Europe or the US for calibration and repair. Clients may accept either, but they expect to see the accreditation.

Each calibration record carries the provider, certificate number, standard, range, uncertainty stated on the certificate, accredited-lab flag and result. The certificate register stores the lab's accreditation number with the PDF. In Purchase, calibration labs, OEMs and dealers are typed vendors, labs carry an accredited-lab flag with accreditation number and expiry, and purchase order lines link to the serial being sent.

International shipping for calibration can take a unit out of service for weeks. The in-calibration and in-repair lifecycle stages, with outbound and inbound movement records, show exactly which units are away and since when. Reservations stop a planner from committing a phased array unit to a shutdown while it is still sitting in a freight forwarder's warehouse.

Radiography: NRRC, FANR and source movement

Industrial radiography is licensed by national regulators across the region, including the Nuclear and Radiological Regulatory Commission in Saudi Arabia and the Federal Authority for Nuclear Regulation in the UAE, with comparable authorities in Qatar, Kuwait and Oman. Licensees must control who holds exposure devices, keep radiation monitors calibrated and move sources only with the right vehicle and permits. Operators' own site rules add their own checks.

The Asset Management app handles the equipment side. Exposure devices, source containers, survey meters, alarming dosimeters, collimators and guide tubes each have a serial record. Survey meter calibrations are recorded with certificate, due date and alerts. Device inspection and servicing go into the maintenance log. Issuing radiography equipment can require supervisor and manager approval, and movements show every trip between the licensed store and site.

Vehicles cleared to carry sources sit in the Fleet app, which records whether a vehicle can carry radioactive sources, its transport licence number and expiry, and its assignment to a project and driver. In a region where source vehicles cover long desert routes between sites, knowing which vehicle and driver are licensed and in date matters.

Regulator-format source inventories, transport permit records and source activity calculations are not built in. If you want them in the ERP, they are scoped with your radiation protection officer during implementation.

Large expatriate crews and rotation handovers

Most Gulf NDT companies run large expatriate workforces on rotation. Technicians go on annual leave, finish contracts, transfer between projects or move between sister companies in different countries. Every one of those moments is an equipment handover, and informal handovers are how a yard ends up with a list of instruments nobody can find.

Issue and return turns each handover into a record. A technician leaving on vacation returns his UT set and probes with condition noted; the relief technician is issued them. When someone exits the company, the list of equipment issued to him is a single view, which makes the final clearance check simple. The dashboard KPI for issued equipment overdue shows kit that has not come back at the end of a job.

Technician documents such as certifications, vision tests and medical fitness sit in the ERP's Certificates app, where ASNT and ISO 9712 certifications are both common and both recorded. Residency, iqama and visa documents can be added to employee records as part of the implementation scope, so the people who hold your equipment are tracked with the same discipline as the equipment itself.

Shutdown season, heat and dust

The spring and autumn turnaround seasons concentrate demand. Everyone needs phased array, TOFD, IRIS and eddy current equipment at the same time, contractors rent kit to each other, and a double-booked unit can cost a shift. Reservations with clash prevention make availability real, and the rented-out lifecycle stage with rental rates keeps hired-out kit visible to both operations and finance.

Heat and dust are the other seasonal enemy. Screens, batteries, connectors and probe faces suffer in summer temperatures and sandy yards. Condition recorded at issue and return catches damage early, and maintenance log entries for cleaning, repair, cable replacement and firmware updates build a history per serial. Consumables such as couplant, penetrant, developer, cleaners, MT consumables and PPE are tracked with reorder levels and low-stock flags, so a remote camp store does not run dry mid-shutdown.

Billing, VAT and dashboards

Equipment is often billed separately on shutdown contracts. Invoice lines in the ERP can carry the equipment serial, method, technician, rate type and days or hours, with labour, equipment and consumables subtotals. VAT for Saudi Arabia, the UAE, Oman and Bahrain is configured locally during implementation; no certification claims are made for e-invoicing. Timesheet lines can carry the equipment serial, so billing matches what was on site. Arabic is a standard Atlantis ERP language and can be enabled per user.

Managers see calibration due and overdue, certificates expiring and issued equipment overdue on their dashboard. Moving equipment across GCC borders

Many NDT groups in the Gulf operate entities in more than one country, for example a Saudi company working for Aramco and SABIC affiliates alongside a UAE company serving ADNOC and a Qatar branch supporting Ras Laffan. Equipment moves between them as work shifts, and every crossing involves customs paperwork, temporary import or re-export documents and sometimes weeks of waiting at a border or in a freight yard.

Outbound and inbound movement records give you the trail for each serial: when it left, where it went and when it arrived. If you want customs or temporary import references stored on each movement, those fields are added during implementation. Reservations stop the UAE team booking a phased array unit that is still sitting at a border crossing on its way back from a Saudi job.

Groups can run each country entity as a separate company in the ERP, with its own yards, stores, consumables and tax setup, while still seeing equipment across the group. When a unit moves permanently from one entity to another, the move is recorded rather than handled in an email, and its calibration and maintenance history travels with the serial.

Radiography equipment is a special case. Exposure devices and sources generally cannot cross borders without separate regulatory approvals in both countries and specialist transport. The app records the equipment side of any such move, while licensing and transport approvals stay with your radiation protection officer. In practice, most groups keep radiography equipment licensed and based in each country, and the register makes that separation clear.

Calibration certificates issued in one country and accepted by clients in another sit in the same register, with the lab accreditation number, so a client inspector in Abu Dhabi can see the same evidence as one in Jubail.

Running a large yard and site stores

A busy Gulf NDT contractor often runs a central yard in Dammam, Al Khobar, Jubail, Abu Dhabi or Musaffah, plus site stores in containers or cabins at each major project. The central yard holds the calibrated stock and sends it out; site stores hold what the crew needs for the job. Without a register, stock drifts from the yard to site and never comes back.

The Asset Management app lets each location work to the same rules. Equipment issued from the yard to a site supervisor is recorded against serials with condition, and site supervisors can issue onward to technicians through the same issue and return workflow, with supervisor and manager approval where you require it. When a job ends, returns go back to the yard with condition noted, and anything damaged goes to repair before it is issued again.

Consumables work the same way. The yard and each site store can have their own reorder levels for couplant, penetrant, developer, cleaners, MT consumables and PPE, and the movement ledger shows what each job drew. A site that consumes far more than its scope suggests stands out quickly.

Retired and disposed lifecycle stages keep old kit from cluttering the active list without losing its history. That matters when a client audits work done years ago and asks which instrument was used. The full serial record, calibration history and maintenance log remain available long after the unit has left the yard.
