Equipment control for Indian NDT companies
Indian inspection companies juggle equipment across some of the busiest industrial corridors in the world. A crew may be on a refinery shutdown at Jamnagar while another works at Paradip, Kochi or Panipat, a third handles boiler inspections under IBR for a power utility, and the Vadodara or Chennai workshop inspects pressure vessels for fabricators. Equipment moves between branches by road, rail and courier, is shared between jobs, and is sometimes rented from or to other NDT firms. Every move is a chance for a serial number to fall off the record.
The Asset Management app in Atlantis NDT ERP is a register for all of that equipment: ultrasonic flaw detectors, thickness gauges, phased array and TOFD units, eddy current sets, probes and wedges, yokes, UV lamps, light meters, densitometers, calibration blocks, radiography exposure devices, survey meters and dosimeters. Each item is tracked by serial with its holder, condition, lifecycle, calibration and maintenance history.
It is not plant integrity software. It does not hold the refinery's or utility's own equipment or inspection history. It manages the tools your company owns or rents, so you know what you have, where it is, who has it and whether it is fit for the next job. It is part of Atlantis NDT ERP, a pre-configured and customised Atlantis ERP system that Atlantis NDT sets up with you.
What the app tracks
Every serialised item records equipment type, serial number, asset tag, firmware version, accessories, assigned person, condition and lifecycle stage: new, active, in calibration, in repair, rented out, retired or disposed. Calibration frequency and status sit on the same record, and rental rates can be recorded for kit you hire out.
- Issue and return with supervisor and manager approval, condition recorded at issue and at return.
- Reservations that block a clashing booking of the same serial.
- Inbound and outbound movements between branches, sites, calibration labs and service centres.
- Maintenance log: preventive, corrective, repair, cleaning, firmware update and probe replacement, with condition before and after.
- Calibration records: provider, certificate number, standard, range, stated uncertainty, accredited-lab flag, pass, fail or conditional, next due date.
- Certificate register: lab accreditation number, PDF, valid, expiring or expired status and expiry alerts.
- Consumables: reorder levels, low-stock flags and a movement ledger.
NABL calibration and traceability
In India, calibration laboratories are accredited to ISO/IEC 17025 by NABL, and clients generally expect NABL-accredited calibration certificates with traceability to national standards maintained by CSIR-NPL. Some instruments, especially phased array units and specialised probes, still go to manufacturer service centres in India or abroad, and their certificates carry a foreign accreditation. Either way, the auditor's question is the same: which lab, which certificate, what result, when is it due?
Each calibration record captures provider, certificate number, standard, range, stated uncertainty, accredited-lab flag, result and next due date. The certificate register stores the NABL or other accreditation number with the certificate PDF, and its status moves between valid, expiring and expired automatically. In Purchase, calibration labs are typed vendors with accreditation number and accreditation expiry, so you notice when a lab's NABL accreditation is about to lapse. Purchase order lines link to the serial being sent, so calibration cost per instrument is visible.
Daily email alerts for calibration certificates go to the people you choose, looking ahead as many days as you set and resending at the interval you set, so the QA manager hears about an expiring certificate weeks before a client inspector does.
PSU tenders and client audits
Tenders from public sector refiners and producers such as IOCL, BPCL, HPCL and ONGC routinely ask bidders to list their NDT equipment with valid calibration certificates, and client inspectors check the same documents again at mobilisation. Private refiners and large EPC contractors do much the same. Pulling that list together from folders and email is where bid teams lose days.
With every serial, its lifecycle stage and its current certificate in one register, the equipment list for a bid starts from real data: what you own, what is active and what is in calibration. If a tender needs a specific equipment schedule format, that report is configured during implementation as part of the agreed customisation scope. At mobilisation, the client's inspector can be shown the certificate PDF for each serial directly.
The Team Assignments app adds a check at the planning stage: assigning an equipment serial already committed to another job is blocked, and the planner is warned when assigned equipment is out of calibration before the crew travels.
Radiography under AERB
Industrial radiography in India is regulated by the Atomic Energy Regulatory Board. Licences and approvals are handled through AERB's e-LORA system, each institution must have an approved Radiological Safety Officer, sources are procured from authorised suppliers such as BRIT, and transport of radioactive material follows AERB's transport requirements. Survey meters must be kept calibrated and exposure devices properly maintained, and the RSO must know where every device is.
The Asset Management app handles the equipment side. Exposure devices, source containers, survey meters, pocket dosimeters, collimators and guide tubes each get a serial record. Survey meter calibrations are recorded with certificate, result and due date, with alerts before they lapse. Device servicing and inspection go into the maintenance log. Issuing a camera can require supervisor and manager approval, and movements show every trip between the approved storage and site.
Vehicles that carry sources sit in the Fleet app, which records whether a vehicle can carry radioactive sources, its transport licence number and expiry, and its assignment to a project and driver.
e-LORA submissions, source inventories in AERB's format, and source activity calculations are not built in. If you want related records in the ERP, they are scoped with your RSO during implementation.
IBR, PESO and fabrication work
Boiler work under the Indian Boiler Regulations, and pressure vessel and gas cylinder work touching PESO requirements, puts NDT results in front of inspecting authorities and third-party inspectors who want evidence that the equipment was calibrated. The same applies to fabricators building to ASME codes for export and to EPC contractors on refinery and petrochemical expansions.
For UT work, each serial's calibration record and the probe replacement entries in the maintenance log make it clear which instrument and probe were in use. On the reporting side, the ERP's NDT Reports app carries a probe calibration table on UT reports, so the report and the equipment history agree. For densitometers and step wedges used in film radiography, calibration certificates sit in the same register as everything else.
If your clients want inspection results placed on a 3D model of a boiler, vessel or piping system, that is Atlantis's companion product, Digital Twin Reporting Software, which works alongside the ERP's NDT Reports app.
Branches, rentals, monsoon and consumables
Many Indian NDT firms run several branches, for example in Mumbai, Vadodara, Chennai and Visakhapatnam, and move equipment between them as work shifts. Outbound and inbound movements record each transfer, and reservations stop two branch managers promising the same TOFD unit for the same week. Renting equipment to and from other NDT companies is also common; rented-out units carry the lifecycle stage and rental rates, and rented-in units can be recorded with their serials and certificates.
Climate is hard on kit. Monsoon humidity, coastal salt air and summer heat damage connectors, screens, batteries and probe faces. Condition recorded at issue and return catches damage when it happens, and maintenance log entries for cleaning and drying, repairs, cable replacements and firmware updates build a history for each serial.
Consumables such as couplant, penetrant, developer, cleaner, MT consumables, film-room supplies and PPE are tracked with reorder levels, low-stock flags and a movement ledger by job, so site stores are restocked before a shutdown runs short rather than after.
GST, data protection and connections
Equipment is billed on many Indian contracts. Invoice lines can carry the equipment serial, method, technician, rate type and days or hours, with labour, equipment and consumables subtotals. GST is configured locally during implementation; no certification claims are made for e-invoicing. Timesheet lines can also carry the equipment serial used.
Issue records and holders name individual technicians, which makes them personal data under the Digital Personal Data Protection Act, 2023. Atlantis ERP's access rights let you limit who sees what, and retention and access rules are agreed during implementation. Technician qualifications, where both ASNT and ISO 9712 certifications are common in India, are recorded in the ERP's Certificates app, whose daily alert engine also covers calibration certificates. Managers see calibration due and overdue and issued equipment overdue on their dashboard.
Setting it up for an Indian company
We import your current register, including serials, types, asset tags, firmware, accessories, holders and lifecycle stages, and load current certificates with PDFs, NABL or other accreditation numbers and due dates. Your Level III agrees calibration frequencies per equipment type, and managers agree approval steps for radiography and high-value equipment. Stores and consumable reorder levels are set per branch. Cost is quoted on request: affordable, accessible and fully customisable. Book an Asset Management demo.
Power plant overhauls and boiler tube inspection
Thermal power stations run by NTPC, state generation companies and private producers schedule annual and capital overhauls that bring a burst of NDT work: ultrasonic thickness surveys on boiler tubes, weld inspection on replaced tube sections, magnetic particle and penetrant testing on rotating equipment and structural parts, and radiography of new welds. A single overhaul can need many thickness gauges, probes and calibration blocks at once, spread across several crews working inside the boiler and around the unit.
This is where equipment control usually slips. Gauges are passed between technicians inside the boiler, probes wear out quickly on scaled tube surfaces, and at the end of the overhaul nobody is sure which gauge was used on which elevation or whether every unit came back. The issue and return workflow puts each gauge against a named technician with condition at issue and return. Probe replacement entries in the maintenance log show how quickly probes are consumed on boiler work, which helps you plan the next overhaul's stock.
Calibration matters as much here as anywhere. Utility engineers and third-party inspectors reviewing tube thickness results expect to see the gauge's calibration certificate and the reference block used. With both in the register, and the NDT Reports app recording UT thickness readings on its own report type, the evidence for a boiler survey can be shown from one system.
Reservations let the planner book a fleet of gauges for the overhaul window well in advance, and the issued equipment overdue KPI shows which units are still at the power station after the unit has returned to service.
From register book to ERP: starting small
Many Indian NDT companies still manage equipment in a physical register book or an Excel file kept by one person in the office. It works until that person is on leave, a branch opens, or a major client asks for an equipment list with certificates by tomorrow. Moving to an ERP does not need to happen all at once.
A common approach is to start with the equipment register and calibration certificates alone. Serials, types, asset tags, holders and current certificates go in first, so the certificate register and expiry alerts start working immediately. Issue and return and reservations follow once the storeman is comfortable, then consumables with reorder levels, and finally links to projects, timesheets and invoicing. Each step is agreed with you, and the pace is set by how quickly your team adopts it.
Atlantis ERP runs in a web browser, so branch storemen and site supervisors can use it from a laptop or phone without installing anything special. Access rights mean a site supervisor sees the kit issued to his site, while the head office sees everything.
Implementation includes hands-on training for storemen, planners and the QA team, using your own equipment data. The goal is a register that people actually keep up to date, because it saves them time, rather than one that is updated only before audits.
Frequently asked questions
Can it store NABL accreditation numbers?
Yes. The certificate register stores the lab accreditation number with each certificate, and lab vendors in Purchase carry accreditation number and expiry.
Can it produce the equipment list a PSU tender asks for?
The data is all in the register. A tender-specific equipment schedule layout is configured during implementation.
Does it handle AERB e-LORA submissions?
No. It manages radiography equipment, survey meter calibrations, issue and movements. Related records can be scoped during implementation.
Is it software for our clients' plant assets?
No. It manages your company's NDT instruments, probes, blocks and consumables.
Does Atlantis NDT train technicians for ISO 9712?
No. Atlantis's training is based on ASNT SNT-TC-1A. The ERP records ISO 9712 certificates your technicians already hold.

Built for any business that runs on operations
Most companies do not fail at their craft. They lose time, margin and goodwill in the gaps between the tools they use to run the place — a quoting spreadsheet that does not talk to the job sheet, a job sheet that does not reach accounts, and a compliance folder nobody can search when a client asks. Atlantis closes those gaps by putting the whole operation on one platform, so information is entered once and everything downstream stays in step.
What you can run on it
- Sales and CRM — leads, quotes, follow-ups and the pipeline that tells you what next month looks like.
- Projects and job costing — plan the work, track the hours and materials against it, and see the margin while the job is still live rather than at final account.
- Field and service teams — dispatch, schedules, mobile capture that works with no signal, and sign-off from site.
- Inventory and purchasing — stock, suppliers, reorder points and goods receipt, joined to the jobs that consume them.
- People — records, qualifications and licences with renewal reminders, timesheets, leave and payroll.
- Quality and documents — procedures and forms under revision control, with the audit trail an inspection or accreditation body actually asks for.
- Accounts — invoicing, expenses, multi-currency and the reporting your accountant stops chasing you for.
Affordable, accessible, fully customizable — and we mean each word
Affordable because the whole suite is included rather than sold to you a module at a time, and because implementation is done by people who have run operations rather than by a chain of subcontractors. Accessible because it runs in a browser and on a phone, works for a small team on day one, and does not need a specialist on staff to keep it alive. Fully customizable because your process is the thing that makes you competitive — the software should bend to it, not the other way round.
Industries we configure for
Service businesses and contractors, manufacturing and fabrication, trading and distribution, laboratories and testing houses, engineering consultancies, construction and facilities, and asset owners across energy, marine, aerospace and infrastructure. Inspection and testing is where we started, and it remains the sector we go deepest in — but the platform underneath is general-purpose, and most of what it does has nothing to do with inspection at all.
What happens when you get in touch
A short conversation, not a sales sequence. We ask how the business runs today and where it hurts, show you the platform doing that work, and send a written quote shaped to your region, your team size and the scope you actually need. No obligation, nothing to install first, and no pressure to decide on the call. Reach out and tell us what you are trying to fix.
