What NDT dispatch looks like in the Gulf
An NDT company in Saudi Arabia, the UAE, Qatar, Kuwait or Oman runs a very particular kind of operation. Crews are large and mostly expatriate, drawn from India, Pakistan, the Philippines and elsewhere, on employment visas tied to a sponsor. Work comes in huge waves around plant shutdowns. Sites are spread across hundreds of kilometres of desert and coast, from Jubail and Ras Tanura to Yanbu, Ruwais, Ras Laffan and Ahmadi. And each national oil company has its own approval processes, gate pass systems and standards.
The result is that a dispatcher has to check far more than who is free. Is the technician approved for this client? Is his residence permit valid, and is he in the right country? Does he have a gate pass for this plant? Is the source vehicle cleared? Is the PAUT unit back from the last shutdown and in calibration? On a spreadsheet, the answers live in five different files.
Team Assignments, part of Atlantis NDT ERP, gives you one scheduling record for every job: site with GPS coordinates, mobilisation and demobilisation dates, crew and equipment serial numbers. Jobs move from planned to dispatched, in field, submitted and closed. A technician availability calendar holds assigned, leave, training, sick and unavailable time and blocks overlaps. Technicians and equipment serials cannot be double-booked, and the app warns when assigned equipment is out of calibration. Each technician shows status, current assignment, utilisation percentage and next available date, in calendar, kanban and list views.
Shutdown season and planning around the heat
Across the Gulf, major shutdowns and test-and-inspection campaigns at refineries, gas plants and petrochemical complexes are usually planned for the cooler months, roughly October to April. Summer brings extreme heat, and Saudi Arabia, the UAE, Qatar, Kuwait and Oman all enforce midday outdoor work bans through the hottest months. Ramadan shortens working hours, and the Eid holidays take large parts of the workforce out for days. The practical effect is that the whole region competes for the same technicians in a few intense months.
Planning for that starts early. The calendar in Team Assignments shows real commitments months ahead, so when a plant's shutdown planner asks for forty technicians for a February T&I, you can see who is genuinely available once existing jobs, annual leave and training are counted. The next available date on each technician tells your commercial team exactly when a named Level II can join.
During the shutdown itself, the kanban view shows how many jobs are still planned but not dispatched, how many crews are in field and which submitted jobs are waiting for report approval before closing. Night and day shifts can be set up as separate assignments, so the calendar shows who is on nights and should not be rostered onto a day job straight after. When a shutdown extends, as they often do, the demobilisation date moves, and any overlap with the crew's next job is blocked, so the clash is visible immediately rather than on the morning the next client expects them.
Expatriate crews, iqamas and document-driven availability
In the Gulf, a technician's availability depends on paperwork as much as on the diary. A residence permit such as the Saudi iqama must be valid. Leaving the country needs an exit and re-entry visa. A Saudi-sponsored technician cannot simply be sent to a job in Abu Dhabi or Doha without a work visa there. Passports get held for processing. Annual leave home is often three or four weeks at a stretch, tied to the contract anniversary, and flights get changed.
Team Assignments deals with the diary side directly. Annual vacation approved in Time Off blocks dispatch for those dates. Visa processing days, passport renewals and medicals can be entered as unavailable, so they stop the technician appearing as spare capacity. Overlaps are blocked, so a coordinator cannot book someone on a Ras Tanura job for the week he is flying home.
Tracking the documents themselves, such as iqama expiry, passport expiry and country-specific work visas, is set up during implementation as part of the customization scope agreed with you, because each company's sponsorship arrangements differ. The employee NDT profile already records medical fitness expiry, radiation safety training and radiation badge number.
During peak shutdowns, many Gulf contractors top up their crews with technicians hired from manpower suppliers for a few weeks. Those people can be set up as records so their availability, certificates and assignments are tracked like staff, and utilisation shows clearly when they can be released. How their certificates are verified and how they are billed is agreed during implementation.
Utilisation matters for your own staff too. Large expatriate crews are a fixed cost whether they are on site or in the accommodation. Utilisation per technician shows who has been sitting in camp for weeks and who has done back-to-back shutdowns without a break, which helps with both margin and retention.
Client approvals: Saudi Aramco, ADNOC, QatarEnergy, KNPC
Each national oil company sets its own rules. Saudi Aramco contractors work to Saudi Aramco Engineering Standards and inspection requirements, and Aramco expects contractors, and often individual NDT technicians, to be approved before they work on its facilities. ADNOC group companies in the UAE, QatarEnergy at Ras Laffan and Mesaieed, and KNPC at its Kuwaiti refineries each have their own contractor registration, personnel approval and site requirements. A technician approved for one client is not automatically approved for another.
This is exactly where checking by memory fails. In the ERP, the Certificates app records certifications by scheme, including an other category, with level, method, issuing body, issue and expiry dates and attachments. You can use that to record client-specific approvals alongside the technician's ASNT or ISO 9712 certification, so they get the same automatic status and 90-day expiry warnings. Daily email alerts can go to the QA manager and the dispatcher.
At dispatch, the coordinator builds the crew for a client job while able to see who holds a current approval, and Timesheets warn if a technician's certification is not valid when hours are booked. If you want Team Assignments to block a technician who lacks the approval required for a given client, that rule can be added during implementation.
None of this implies that any of these companies endorse a particular system. It is simply how Gulf NDT contractors keep their own records straight against their clients' requirements.
ASNT and ISO 9712 on the same crew
Gulf crews are unusually mixed. Technicians from India may hold ISO 9712 certificates as well as employer certification under ASNT SNT-TC-1A. Others arrive with PCN or with ASNT-based certification from previous employers, which has to be re-established under your own written practice. Some clients specify ASNT, some accept ISO 9712, and some want both.
The Certificates app handles each certificate as its own record, so a technician can hold several at once, each with its own scheme, level, method and expiry. Vision tests are recorded separately, with near vision, colour perception, examiner and expiry, and they have their own 90-day warning. Examination sheets record general, specific and practical scores against a passing score. That gives your Level III the evidence for each employer certification, and it gives the dispatcher a single place to check before building a crew.

Gate passes, permits and remote desert sites
Getting a crew onto a Gulf plant takes planning. Plants require gate passes or site IDs processed in advance, often with copies of residence permits, certificates and safety training records. Many sites require H2S training and site-specific inductions, and every job runs under a permit-to-work system. Lead times vary from days to weeks.
The Project app holds safety induction and work permit fields for each NDT job, so the requirements live with the job. In Team Assignments, the mobilisation date can allow for pass processing, and induction days can be booked on the calendar. Per-technician gate pass and site ID tracking can be configured during implementation.
Many jobs are nowhere near a street address: pipeline corridors, wellheads, gas-oil separation plants and desert pumping stations. Site GPS coordinates on each assignment tell the driver exactly where to go, which matters when the difference between two sites is a hundred kilometres of desert road.
Radiography crews, night shots and source vehicles
Radiography in the region is licensed by national regulators, such as the Nuclear and Radiological Regulatory Commission in Saudi Arabia and the Federal Authority for Nuclear Regulation in the UAE. Plants usually want radiography done at night, with barricades and area clearance, so the rest of the shutdown can carry on during the day. RT crews therefore work their own shifts, with dosimetry and radiation safety training required for everyone involved.
Team Assignments books the RT crew, the exposure device, survey meters and other equipment on one assignment, blocks any of those serial numbers from being booked on another job for the same dates, and warns if any instrument is out of calibration based on records in the Asset Management app. The employee NDT profile shows radiation safety training and badge number. The Fleet app records which vehicles can carry radioactive sources, with transport licence number and expiry, and assigns vehicles to projects.
Equipment also moves long distances between cities and countries. Serial-number booking and the issue and return workflow in Asset Management mean the office knows whether the PAUT unit is in Jubail, in Yanbu or at the calibration lab, and the wear that heat and dust put on instruments shows up in maintenance and calibration records rather than as surprises on site.
Who uses it in a Gulf NDT company
Operations coordinators in Dammam, Jubail or Abu Dhabi build crews in the calendar view and move jobs through the kanban board. Camp and HR coordinators enter vacations, visa trips and medicals as leave or unavailable so the plan stays honest. QA managers and Level IIIs keep certificates, vision tests and client approvals current in the Certificates app. Equipment controllers issue and receive instruments through Asset Management and chase calibration. Sales and contracts teams check next available dates before committing crew numbers in a bid. Owners watch utilisation to judge whether to add manpower before the next shutdown season or release hired technicians when it ends. Access rights are set by role, so each person sees what they need and technicians see only their own jobs.
Invoicing, Arabic and the rest of the ERP
Once crews are in the field, hours go into Timesheets with work type, method, site and equipment serial, a billable flag and a rate multiplier for overtime or night shifts. Those hours feed Invoicing, which splits labour, equipment and consumables. VAT is configured for each country during implementation using standard Atlantis ERP tax features; we make no certification claim for any e-invoicing regime, and local requirements are handled as part of the implementation scope. Can it stop the same technician being booked on two shutdowns?
Yes. Overlapping assignments and availability entries are blocked for technicians, and the same applies to equipment serial numbers.
Can it track iqama and visa expiry?
Visa processing and travel can be blocked on the calendar as unavailable. Document expiry tracking per technician is configured during implementation as part of the agreed scope.
Can I record Saudi Aramco or ADNOC technician approvals?
