Certifying a Crew Across Multiple States — NDT Training for Nationwide US Contracts

Winning national work is one problem. Proving the same certification standard at every site, to every client auditor, is a different and harder one.

How does a contractor keep NDT certification consistent across multiple states?

By running one certification programme, not one per region. Under SNT-TC-1A the certifying entity is the employer, so a company operating in six states still has a single Written Practice, a single Level III of record structure, and a single set of records. Companies that let regional offices drift into local variants create the exact inconsistency a national client's auditor is looking for.

Why NDT certification is not state-licensed — and what is

NDT personnel certification under SNT-TC-1A carries no state licensing component; it is an employer credential and it travels with your programme, not with a jurisdiction. What is jurisdictional is pressure-equipment inspection: states and localities operate their own boiler and pressure vessel programmes, and API in-service inspection intersects with those. Confusing the two produces either unnecessary duplication or a compliance gap. The practical rule is that your technicians' method certifications are national to your company, while the equipment inspection regime changes with the address.

What a national client's auditor actually checks

Consistently, four things. That the Written Practice exists and is current. That every certified technician's file contains training hours, documented experience, examination results and a current vision test. That the person who signed the certification had the authority to do so. And that the procedures used on their site are the approved ones, at the current revision.

The failure mode in multi-site contractors is almost never the technical work — it is records that live in different systems in different offices, so the file for a technician who transferred between regions cannot be produced in one piece. An auditor who cannot follow one technician's history through your records will not accept the programme, regardless of how good the inspection was.

The mobilisation problem

National contracts move crews between sites at short notice, and each client may add its own approval gate on top of your certification — operator-specific orientation, site-specific technique qualification, sometimes performance demonstration before a technician can work. Building that lead time into mobilisation planning is the difference between a crew that starts on Monday and one that watches from the gate.

Practical structure

Keep one Written Practice and version-control it centrally. Hold personnel records in one system that any office can produce from, rather than in regional folders — this is the single change that most improves audit outcomes, and it is why contractors increasingly move certification tracking into a system rather than spreadsheets. Maintain Level III coverage for every method you certify in, and confirm it does not lapse when one person leaves — the most common cause of a suddenly invalid programme. Where in-house Level III coverage is thin, contracting the function keeps the programme valid while you recruit.

For the people managing everyone else’s certifications

Tracking one certification is easy; tracking two hundred across five methods, with vision exams, on-the-job hours and client-specific approvals, is where inspection companies lose client audits. Certification tracking and the wider inspection management software guide cover how currency is enforced at dispatch so a lapsed technician simply cannot be assigned to a job. There is also a free qualification and calibration register you can start using today.
