Qualification and Calibration Register

Expired qualifications and out-of-calibration equipment are almost never discovered by the company that holds them. They are discovered at a client gate. The reason is structural: the records live in different places and nothing checks them together at the moment work is assigned.

A single technician certified in several methods carries a separate expiry clock for each method, plus a vision or medical examination on a shorter cycle, plus site inductions per client, plus any client-specific approval. One person can easily carry ten independent expiry dates, and a modest team carries hundreds. This register is structured to make that visible — one row per qualification rather than one row per person, so the shorter clocks cannot hide behind the longer ones. Equipment is structured the same way, including the probes, wedges and reference standards that are usually the missing item in an audit. It is a control, not a report. The point is to check it at assignment, not to review it monthly.

What it covers

  • Personnel — one row per person per method and level, not one row per person.
  • Certification detail — scheme, level, date granted, expiry, and the written practice revision it was granted under.
  • Examination evidence — general, specific and practical records, with scores where the scheme requires them.
  • Vision and medical — tracked on their own cycle, which is shorter than the certification it supports and the most commonly missed item at a client gate.
  • Documented experience — training hours and on-the-job hours, by method.
  • Client and site approvals — separate validity, independent of your internal certification cycle.

  • Forward-look view — everything expiring inside the next window, so a gap is closed before it becomes a gate refusal.

How to use it

Count your clocks first: Before filling anything in, count how many independent expiry dates the business actually tracks. The number is almost always a surprise, and it is the argument for doing this properly rather than adding another column to an existing sheet.

Check at assignment, not monthly: A monthly review informs you about lapses that already happened. The only check that prevents the incident is the one performed at the moment work is assigned — which is why the dispatch check sheet is the important tab, not the register.

Run the forward look before every mobilisation: Two weeks ahead, not two days. Almost every gate refusal is something that would have been visible with a fortnight of notice and closable in that time.

Freeze state onto issued work: Record the qualification and calibration state as it was on the date of the work, on the record itself. It is trivial to do prospectively and impossible to reconstruct afterwards — and it is exactly what an audit asks for.

At what size does a spreadsheet stop working for this?

It is driven by the number of independent expiry clocks rather than by headcount. A small team running several methods, with vision examinations and a couple of client-specific approvals, is already tracking hundreds of dates. The failure is not carelessness — it is that one row per person cannot represent one person holding several qualifications on different cycles, and the shorter cycle is always the one that gets missed.

Why track probes and reference blocks separately?

Because they are part of the measurement system, and traceability is only as strong as its weakest link. A certificate for the instrument alone does not establish traceability for a measurement taken with an unverified reference block, and this is one of the most frequently raised findings in an accreditation assessment. Blocks also wear and get damaged, so periodic verification matters as much as the original certificate.

What should happen when equipment returns out of tolerance?

The instrument is the easy part. The real question is which work performed since the last known-good calibration is affected. A usable register can answer that immediately — which jobs, which clients, which issued reports — so the impact assessment takes minutes and you control the conversation with the client. If answering it means cross-referencing files, the assessment takes days and the client hears about it late.

Can this stay in a spreadsheet permanently?

It can, and for a very small team it is a reasonable place to start — which is why this template exists. What a spreadsheet cannot do is refuse an assignment, and it cannot tell you the state of a qualification as it was eighteen months ago. Those two properties are the reason businesses eventually move it into a system, and the trigger is usually the first client audit that asks for point-in-time evidence.
