Records Retention Schedule for ISO 9712
ISO 9712 names this requirement as "Renewal and recertification file, including Annex C structured credit system records where that route is used". The QA manager owns it, alongside the certification scheme rather than replacing it.
The finding auditors record against this document is: Bidding an ISO 9712 scope with employer-based SNT-TC-1A certificates and assuming they will be accepted. ISO 9712 specifies requirements for the qualification and certification of personnel who perform industrial non-destructive testing. The fifth edition, ISO 9712:2021, was published in December 2021 and cancels and replaces ISO 9712:2012, which it technically revised — clarifying responsibilities for the certification body, authorized qualification body, examination centre and employer, revising training and industrial experience durations, modifying visual acuity testing, adding requirements for renewal candidates, and revising the structured credit system for Level 3 recertification. Its Scope notes that it specifies requirements for what are in effect third-party conformity assessment schemes. For a service provider this changes the shape of a bid: certificates belong to certification bodies and to individuals, not to the company.

| Regime | ISO 9712, Non-destructive testing — Qualification and certification of NDT personnel | Enforced by ISO Technical Committee ISO/TC 135, Non-destructive testing, Subcommittee SC 7, Personnel qualification, in collaboration with CEN/TC 138 under the Vienna Agreement. Operationally the authority is the certification body running the scheme, which must operate to ISO/IEC 17024. In the Americas: ASNT Certification Services LLC (ASNT 9712 / ANSI/ASNT CP-9712) in the United States; Natural Resources Canada's National NDT Certification Body (NDTCB) under CAN/CGSB-48.9712 in Canada; ABENDI's SNQC-END, accredited by Inmetro, in Brazil. |

What must a records retention schedule contain under ISO 9712?
It has to satisfy ISO 9712 as ISO Technical Committee ISO/TC 135, Non-destructive testing, Subcommittee SC 7, Personnel qualification, in collaboration with CEN/TC 138 under the Vienna Agreement. Operationally the authority is the certification body running the scheme, which must operate to ISO/IEC 17024. In the Americas: ASNT Certification Services LLC (ASNT 9712 / ANSI/ASNT CP-9712) in the United States; Natural Resources Canada's National NDT Certification Body (NDTCB) under CAN/CGSB-48.9712 in Canada; ABENDI's SNQC-END, accredited by Inmetro, in Brazil. enforces it: how long each record is kept, where, and who can retrieve it during an audit. The test is not completeness on paper but traceability — an auditor picks a finished job and works backwards to this document, so anything it claims must be demonstrable on that job.
Who signs the records retention schedule for ISO 9712?
The QA manager. This regime requires central or third-party certification, so the signature works alongside the scheme rather than substituting for it.
How does a ISO 9712 auditor test this document?
By sampling. They take a completed job, find the technicians and equipment used, and trace each back through this document to the evidence behind it. A document that reads well but cannot survive that trace is the most common finding across every regime, not just this one.
How long must ISO 9712 records be kept?
Certificates carry a defined validity period, with renewal handled under Clause 10 and recertification under Clause 11. European Accreditation states that ISO 9712 certificates expire at the end of a maximum period of validity of five years, that renewal may be applied for up to 12 months after the expiry date, and that an application for recertification made more than 12 months after expiry requires a complete examination. Where the standard allows latitude, the certification body has the final decision, so the operative numbers come from the scheme rules, not from a universal figure. In the Americas: ASNT 9712 certificates run five years; Canada operates CAN/CGSB-48.9712-2022 (ISO 9712:2021, IDT) with its own Rules of Implementation; Brazil's SNQC-END operates under ABENDI's NA-001. Retention is set by the regime and by the client contract above it, and the longer of the two governs. Firms that set one retention period for everything and document it fare better at audit than firms tracking different periods per record type and losing track.
Does a generic template satisfy ISO 9712?
No. A downloaded template describes a generic firm, and the first question an auditor asks is whether the document describes THIS firm — its methods, its equipment, its people, its actual workflow. Templates are a starting structure; the content has to be the firm's own or the trace fails immediately.
What happens if this document is missing at a ISO 9712 audit?
It is a finding, and depending on the regime it can suspend the certificate rather than merely generate a corrective action. The related finding auditors record most often is: Bidding an ISO 9712 scope with employer-based SNT-TC-1A certificates and assuming they will be accepted
Where this sits in the ISO 9712 evidence pack
- Application to the certification body or authorized qualification body naming method, level and industrial or product sector (Annex A)
- Documented training from a source the certification body recognises, meeting the durations in Clause 7.2
- Employer-attested industrial NDT experience performed under supervision in the method and sector (Clause 7.3)
- Vision evidence meeting Clause 7.4 — near vision acuity and colour vision, with ISO 18490 as the normative reference for evaluating visual acuity
- Examination results for the general, specific, practical and NDT instruction writing elements at Levels 1 and 2, or the basic and main method elements at Level 3 (Clause 8)
- The certificate issued by the certification body, showing scope and expiry (Clause 9.2)
- The employer's written operating authorization, issued after job-specific training on the employer's products and procedures
- Renewal and recertification file, including Annex C structured credit system records where that route is used
Personnel certification context
Central, third-party — the opposite pole from SNT-TC-1A. The certificate is issued by a certification body, which under the standard's own normative reference to ISO/IEC 17024 must be a properly constituted certification body, and that body retains authority over granting, maintaining, recertification, scope extension, suspension and withdrawal. Canada's NDTCB states plainly that it does not delegate those decisions. An outsourced Level III cannot sign for the firm here. What the employer keeps is real but different: verifying eligibility, delivering job-specific training on its own products, equipment, procedures and codes, and issuing the resulting operating authorization that lets a certified person work.
